Provides administrative support and directs wide scope of complex and confidential administrative duties to support the daily activities and operations of the Campus Recreation Department and its full-time and Graduate Assistant Staff members. Performs related duties as required.
JOB DUTIES:
40% - Essential - Administrative Support: Performs complex and confidential administrative support services for the Department of Campus Recreation staff members in a professional manner. Ensures effective office systems are in place. Utilizes effective file storage and retrieval processes including Records Retention. Manages department level calendar, assists staff with travel logistics and preparation of itineraries, on and off boards all professional staff, updates List Serves, shared drives and TEAMS access, updates the Emergency Communication Network, and updates mailboxes, room signs, manages parking passes.
30% - Essential - Meetings and Communication: Coordinates department bi-weekly team meetings, setting the schedule and developing the agenda. Sends out minutes after the meetings to all in the department. Assists with the setup of remote meetings as needed. Performs duties in a professional manner; ensuring confidentiality, honest and integrity. Assists the Executive Director and Admin Team on special projects and tasks arising from a variety of meetings. Sends out communication to department on critical items that come from the Division of Student Affairs.
20% - Essential - Department Level Support Acts as primary department contact for the Digital Asset Tracker and updates as needed. Assists with Departmental purchases and travel arrangements. Conduct daily deposits and assist with the Fusion system. Assists with monthly KRONOS/Payroll as needed.
10% - Essential - Operations: Manages the procurement of office supplies and equipment in compliance with all applicable University policies and procedures. Orders and maintains student incentive and uniform items. Assist with managing student Employee Hiring checklist. Assist in other tasks as directed to ensure department runs smoothly.
MINIMUM REQUIREMENTS:
Education - High School or Equivalent - and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience Work Exp 1+ years in business management, public administration or administrative services
PREFERRED REQUIREMENTS:
Education - Bachelor's Degree - Higher Education support services Work Exp 2+ years in business administration
RESPONSIBILITIES:

SUPERVISORY RESPONSIBILITIES No Supervisory Duties - Not responsible for supervising employees.
BUDGETARY RESPONSIBILITIES Monitors Budget - Does not provide input but is responsible for monitoring the departmental budget and may oversee fund allocation.
