The Timekeeping Coordinator II is responsible for maintaining and overseeing the organization's timekeeping systems, ensuring all employees' work hours, attendance, and leave are accurately recorded and reported. Reporting to the Assistant Controller this is role involves regular data entry, auditing, troubleshooting timekeeping issues, and collaborating with project and payroll teams to ensure timely wage payments. This position places a particular emphasis on hourly employee payroll across the Company's geographic locations.
Key Responsibilities
1. Assist employees with questions or issues regarding their time cards, attendance records, or leave balances.
2. Assist in audits related to time and attendance records.
3. Confirm hours worked align with company policies and legal requirements.
4. Ensure all employee hours are accurately recorded in the system, including regular hours, overtime, and paid/unpaid leave.
5. Ensure that timekeeping data integrates seamlessly into the payroll system.
6. Generate and distribute relevant timekeeping reporting as needed.
7. Identify process gaps and offer effective solutions for consideration.
8. Investigate and correct any inconsistencies as it relates to calculations of regular pay, overtime and any other relevant adjustments.
9. Provide training and support to employees on company timekeeping policies and practices.
10. Review time card submissions with missed time reports to identify trends or patterns that may impact workforce management.
11. Stay informed about labor laws, regulations, and industry standards related to timekeeping in all work states to ensure compliance with federal, state, and local requirements.
12. Troubleshoot and resolve any system-related issues or discrepancies.
13. Work with Project Management Timekeeping Module to ensure project time cards are submitted to Payroll accurately and on time.
Minimum Job Requirements
1. Ability to communicate effectively with key stakeholders and project teams.
2. Ability to manage multiple projects while meeting deadlines is critical.
3. Advanced knowledge in time collection methodologies relating to hourly (non-exempt) employees.
4. Advanced knowledge of wage and hour compliance for both federal {FLSA) and state levels.
5. Demonstrated experience as a client focused professional.
6. Highly detailed with strong emphasis in data integrity.
7. Highly technical in data review and analysis.
8. Minimum of three (3) years related experience with time tracking systems and process coordination.
9. Strong knowledge in MS Excel and dashboard reporting.
