Reporting directly to the Associate Director of Academic Ventures & Engagement, the Program Coordinator coordinates the programmatic work of the Academic Ventures and Engagement (AV&E) department and serves as the department's initial contact and liaison with internal constituents, managing intake of programmatic requests and outflow of information. The Program Coordinator provides support on critical public and private programs, department-wide initiatives, and Institute priorities. Flexibility in assignments and priorities is critical, as this role is varied, and priorities can shift quickly.

Position Description

  • Serves as primary contact for internal constituents seeking program information and support and maintains strong relationships with individuals and units across the Institute.
  • Works closely with the Executive Director, Associate Director, and others within the department responsible for program delivery to coordinate the annual portfolio of AV&E programs and exhibitions, department-wide efforts, and special initiatives, providing support in all phases, from research through delivery, both on-site and online.
  • Collaborates closely with Associate Director on private seminar and workshop programs, coordinating outreach, review process, dissemination of decisions, student hiring and onboarding, and program-related private websites.
  • Oversees online application portal and processes related to all student- and faculty-funding programs within department.
  • Maintains and updates program-planning records during and following program development.
  • Collaborates with Department Administrator on financial and administrative matters, including key departmental reports.
  • Serves as primary liaison with Communications team to drive website updates, digital exhibitions, design requests, and newsletter submissions.
  • Communicates regularly with key program stakeholders, managing the flow of information internally and with others at the Institute to support the effective delivery of high-quality programs.
  • Responsible for collection and analysis of program feedback and impact, including quantitative and qualitative data in all facets of departmental work.
  • Drafts documents, correspondence, and reports as needed.


Basic Qualifications

  • Bachelor's degree or an equivalent combination of education, training, and experience.
  • Five years' related administrative and/or project management experience.
  • An equivalent combination of education and experience may be considered toward experience.
  • Must have proficiency with Microsoft Office, Outlook, Excel, and Word


Additional Qualifications and Skills

  • This position requires a team player with a willingness and ability to work with multiple individuals and groups in a fast-paced, high-energy environment. Demonstrated ability to think quickly, manage multiple priorities and projects, and generate solutions when unexpected challenges arise. Candidates must show strong research skills and excellent written, verbal, and interpersonal communication skills.
  • In addition, this position requires excellent customer service and organizational skills, as well as a balance of administrative, project management, and program management experience, and the ability to navigate and learn, as necessary, multiple technology systems. Candidates must be highly motivated, solution-driven, and collaborative. Candidates should be willing to show initiative when appropriate and work well both independently and in a team environment. Experience with CRM platforms (such as Salesforce or Hubspot) is a plus.
  • Must be flexible, energetic, diplomatic, and detail oriented.


Working Conditions

  • This job is generally performed in a temperature-controlled office environment. Travel to other sites across the University will be required.
  • Work hours between 9 am to 5 pm and a 5-day Monday through Friday work week should be expected for this role. Occasional work beyond 5 pm may be required to provide program support.
  • Flexibility to adjust work schedule in support of program delivery will be required.
