Under general supervision of the Scheduling Service Center Manager. The Scheduling Specialist I function as a primary interface between MGH Imaging, patients and referring practices. The Scheduling Specialist I perform all tasks related to scheduling imaging tests - primary in the Epic system and has direct accountability for successful scheduling outcomes and participates in performance tracking and service improvement initiatives.
Work Schedule will be Monday through Friday 8:30am - 5pm. In office training for 90 days or until Manager and leads feel individual is ready to be remote.
Principle Duties and Responsibilities:
Orders
Verifies accuracy or order and proactively intervenes when updated information as required to improve accuracy.
Confirms accuracy of patient demographics, insurance information and ordering provider details.
Ensures all other elements of order are appropriate by using various internal and external verification systems and department resources.
Scheduling
Performs patient scheduling activities and /or fully supports ordering practice in doing so when intervention is required.
Ensures accuracy and thoroughness in all scheduling events and addresses errors in a timely fashion.
Gains expertise in order information, imaging protocols and scheduling options within the broad network of imaging resources.
Develops information networks and personal relationships to maximize effectiveness.
Manages numerous scheduling events concurrently without impacting quality.
Meets management targets for scheduling volume and accuracy rates.
Result Monitoring & Tracking
Employs validation techniques to maximize scheduling effectiveness.
Supports process improvement initiatives, proactively engages manager.
Actively addresses service enhancement opportunities.
Ensures all "hand offs" among colleagues are clearly communicated and mutually agreed upon.
Other
Provides cross coverage as required.
Performs all other related duties appropriate to this level of position and/or as directed by the Scheduling Center Manager.
Always observes hospital and department policies and procedures.
Maintains the confidentiality and privacy of protected health information consistent with HIPAA requirements.
Qualifications
Minimum Requirements:
High School Diploma, GED or Equivalent
Preferred:
1 year of administrative experience, preferably in a clinical setting. Prior work experience utilizing computers and pertinent office equipment.
