The Purchasing Card Administrator position is responsible for overseeing all aspects of Wagner Equipment Co.’s purchasing card program and expense reporting process. This position will enforce compliance of all related company policies while assisting employees utilize their purchasing cards to conduct business.


The Purchasing Card Administrator will also support the Purchasing Manager in the administration of all company purchasing programs, including programs that utilize its purchase order system.


Pay Rate:  $61,665.61 - $84,845.04 Annually
Pay rate is dependent upon education & experience.

  • Administrative:



    • Order New P-cards as requested

    • Send new cards to employees, process signed cardholder agreements, set individual card limits, and provide any training necessary

    • Respond to any inquiries from cardholders or their managers related to use of their cards

    • Troubleshoot declined transactions for cardholders, including adjusting spend limits as necessary

    • Manage Wagner Equipment Co’s expense reporting tool, including processing of employee expense reports and ensuring timely submittal

    • Produce report each month for past due expense reports and follow up with employees to achieve compliance

    • Produce other ad-hoc reports as requested

    • Review and analyze all Purchasing Card transactions to ensure compliance to Wagner’s policies

    • Track and analyze spend to ensure all transactions fall into alignment with Wagner Equipment Co’s policies.

    • Process account closures for terminated employees and ensure all expenses have been submitted

    • Assist with any miscellaneous duties of the Purchasing Department as needed

    • Ability to read, analyze and interpret data to write reports, develop processes and effectively present information to management and vendors


    Interpersonal:



    • The ability to leverage interpersonal skills to establish rapport and develop relationships with all key stakeholders: suppliers, customers & colleagues.

    • Excellent verbal and written communication skills

    • Ability to train new and existing employees



  • Other duties as assigned by manager


Required Education and Experience:



  • High School Diploma or GED

  • Some College or Trade School

  • 2- 5 years of experience with corporate credit card programs

  • Ability to exercise sound judgement

  • Proficiency in MS Office software including Excel, Word and PowerPoint

  • Strong analytical and problem-solving skills

  • Experience with expense reporting software – SAP Concur is preferred

  • Experience with purchase order systems

  • Experience with corporate card programs

  • 1-3 years administrative/clerical experience

  • 3-5 years customer service experience


Physical Demands & Competencies:



  • Standing, walking, talking, sitting, use of hands & hearing

  • Sedentary work that primarily involves sitting/standing but may require occasionally lifting and/or moving up to 25 pounds

  • Data Entry, telephone, reading/writing, reasoning, organizational, communication & math skills

  • Safety & Product Knowledge

  • Basic knowledge of Microsoft Access and DBS

  • Intermediate knowledge of Microsoft Word and PowerPoint

  • Advanced knowledge of Microsoft Outlook and Excel


  • Microsoft Excel is a must, including VLookups and Pivot Tables                                                                                 




Travel Requirements:



  • 1- 25%
