Job Description:

The University of Oklahoma is pleased to announce our search for a Graduate College Admissions Counselor. The Graduate College is a supportive workplace with a collaborative atmosphere and an outstanding professional staff, and we're looking for a dynamic, committed professional to join our team. We are seeking a self-motivated individual who can work with in-person graduate programs (Norman campus) and OU Online graduate programs to evaluate prospective graduate students and applicants. This position is responsible for coordinating admissions services, communicating detailed information regarding graduate programs to prospective students, managing the application process for assigned academic units and initial review of applications. We are particularly interested in appointing someone with a strong commitment to recruiting students from diverse backgrounds and nationalities and can design effective communication strategies to appeal to them.


Job Description & Requirements



  • Builds and fosters relationships with prospective graduate students and applicants.

  • Designs and produces recruitment materials, attends recruitment fairs and presents guest lectures to students. 

  • Develops and maintains working relationships with the academic units for both in-person and online graduate programs

  • Coordinates development of the graduate application for the academic units

  • Develops and maintains working relationships with university offices including International Student Services, the Division of Enrollment Management, OU Online and Educational Services, and the individual graduate programs assigned to this position.

  • Responds to a high volume of emails daily

  • Communicates information about graduate degree/major options and requirements.

  • Carefully evaluates domestic and international academic credentials to ensure they meet the university’s entrance requirements for graduate study.

  • Utilizes the Slate Customer Relationship Management (CRM) to ensure systematic outreach and on-going, collaborative communication, and to share data with university partners.

  • Interprets admissions policies and procedures to guide prospective students and graduate academic units appropriately.

  • Facilitates the application review process and communicates official decisions.

  • Assists applicants and students with general questions about the University and its processes; ensures applicants and students are directed to the proper departments/offices on campus.

  • Assists with developing recruitment strategies and program activities in conjunction with the Graduate College and the academic units.

  • Assists with event planning and execution.

  • Serves as a student recruiter for college programs; designs, produces and maintains recruitment literature; prepares and maintains college bulletins; responds to prospective student and applicant inquiries; represents the college at career fairs and guest lectures held at other universities; works with department chairs and faculty to coordinate recruitment fairs and academic advising sessions.

  • Serves as a liaison between other colleges, admissions and records, information technology and other relevant local, regional, and national associations. 

  • Performs various duties as needed to successfully fulfill the function of the position. 


Required Education:  Bachelor's degree, AND:



  • 12 months of related experience. 


Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months of related experience.


Skills:



  • Ability to speak, read and write clear, concise English

  • Proficiency in Microsoft Office

  • Strong public speaking ability

  • High levels of organization, detail orientation and ability to handle multiple projects and deadlines

  • Ability to communicate well and build rapport quickly with students, faculty and staff from many different backgrounds, nationalities and identities

  • Strong writing skills, including the ability to communicate complex information effectively to multiple constituents

  • Ability to work well with interdepartmental teams and initiatives

  • Ability to handle confidential information with tact, discretion, and in compliance with job regulations


Advertised Physical Requirements:



  • Ability to bend, lift, stoop and carry.  Ability to engage in repetitive motions. 

  • Standard office environment. Frequent exposure to pressure caused by deadlines and busy periods. Ability to work effectively with a wide range of constituencies.  Requires contact with other departments and university officials. 


Departmental Preferences:



  • Previous university experience, preferably with admissions and/or recruitment

  • Work experience with complex rules, regulations, detail, and numbers

  • Comfort working in an environment that involves frequent public contact

  • Familiarity with both domestic and international academic credentials

  • Experience working with diverse populations

  • Must be very comfortable in a highly computerized environment, including Excel, CRM systems, communication tools, including Zoom, Microsoft Teams, and similar meeting/webinar tools. CRM systems such as Slate preferred.

  • Proficiency with technology and functional understanding of CRM systems and email-based communication to support recruitment strategies.
