Job Summary:

This Admin will support the Lockheed Martin College Work Experience Program (CWEP) Team overseeing 100+ student employees by assisting with a variety of administrative duties. This role will be primarily responsible for the processing and reconciliation of the UTA and Lockheed Martin pay processes as well as the management and coordination of the pre-employment/onboarding process for all new CWEP student employees. Must be highly motivated and collaborative, detailed oriented, and must have excellent follow-up skills.


Essential Duties and Responsibilities:



  • Process, review and verify for accuracy bi-weekly payroll for student employees using internal and external timekeeping systems, including data entry.

  • Includes weekly reconciliation.

  • Assist the CWEP Coordinator and Administrator with up-keep of employee payroll records.

  • Assist with management and coordination of student employee pre-employment/onboarding process - initiate criminal background checks, drug screens, as well as assists in the asset management process.

  • This includes heavy data entry in external systems First Advantage, LapCorp, RMS, and NEAT.

  • Ongoing communication with prospective student employees, new student employees, current student employees, Lockheed Martin HR, and Lockheed Martin Management. Participate in frequent, regular meetings with Career Development Center Leadership, CWEP Team, and Lockheed Martin HR.

  • Perform administrative and clerical tasks to support CWEP recruitment and hiring of CWEP student employees. Includes screening student applications.

  • Assist with preparing reports for UTA and Lockheed Martin.

  • Assist with recruitment of students into the program through campus events, information sessions, tabling, etc.

  • Other duties as assigned.


Minimum Qualifications:



  • Bachelor's degree with two (2) years upper-level secretarial experience or equivocal education/work experience.

  • Analytical and financial acumen.

  • Excellent oral and written communication skills and attention to detail.

  • Solid organizational, decision-making, problem-solving, and critical thinking skills.

  • Ability to manage a heavy workload.

  • Proficient in Microsoft Suite - Word, Excel, PowerPoint, and Outlook.

  • Ability to exercise initiative and independent judgment (work independently).


Preferred Qualifications:



  • Experience with UTShare, PeopleSoft and applicant tracking systems.
