Reporting to the Salem Hospital Executive Clinical Director, Surgery, and with direction from perioperative leadership, this position manages the function and maintenance of the Salem Hospital Epic preference card system and database and the function and ongoing maintenance and optimization of Steris' SPM system (for Surgical Services and Endoscopy) in the Sterile Processing Department. The PDS will collaborate with Salem Hospital's Epic Optime Clinical Business Analyst (CBA) and perioperative operational leads to analyze and troubleshoot complex issues and participate in the development and implementation of operational and system solutions. Additionally, will work collaboratively with Central Sterile Processing and Operating Room leaders to ensure standardization and optimization of MGH and Salem Hospital Perioperative systems and processes.
In addition, will serve as an operational and system resource for procedural services at Salem Hospital. The PDS will serve as a member of unit based, hospital based, and Mass General Brigham (MGB) based committees involving Epic preference cards, procedures, and preference card management. The PDS will focus on standardizing and implementing and adhering to best practices (collaborating with MGH) related to preference card development, product introduction, materials management, equipment, instrumentation, implants, data reporting, finance, and resource utilization. The PDS will be a liaison between various departments from which preference cards are built and maintained to ensure accuracy of data and maximize revenue capture. The PDS will create a process for continual evergreen maintenance of preference cards and Epic and SPM system data.
The PDS (in conjunction with operational leaders) will oversee any workflow or system optimization and quality assurance efforts across the operating room, SPD, and procedural settings at Salem Hospital as they pertain to Epic, the Epic preference card system, or SPM. They will identify, collect, and process data to support and improve end users' clinical practice; manage and report findings to administration and help to integrate into staff education, and serve as an extension of the Digital department, collaborating on Digital issues that impact clinical practice.
Additionally, the role will participate on project teams involved in preference card optimization, inventory management, cost analysis and communication of operative needs as well as optimization of existing or new systems, such as Epic, SPM, and future applications. They will work to establish communication tools or mechanisms within the preference card system for Nursing, Surgery, Endoscopy, SPD, Materials Management, Pharmacy, and Perioperative services, and other stakeholders impacted. The PDQI will develop and teach educational classes concerning preference card use, editing and maintenance, SPM, or Epic system optimization. The PDS may lead and participate in committees and project teams designed to achieve goals aligned with institutional and Mass General Brigham directives. To execute initiatives, the incumbent collaborates extensively with Nursing, Physicians, Finance, Digital and Digital Health eCare, Sterile Processing Department, Materials Management, Administrative Directors and Managers, and other resources as needed.
• Maintain system for daily preference card updates and edits
• Schedule and facilitate meetings that pertain to or have preference card content involvement as directed.
• Act as a driving force in the evolution and messaging of the Preference Card system. Convene meetings, prepare presentations, and involve relevant parties in all efforts to advance the preference card management endeavors across the hospital and MGB.
• Participate in Mass General Brigham wide preference card initiatives.
• Liaison with Digital Optime CBA to implement Epic changes as needed.
• Work with Digital Optime CBA to request Epic enhancements.
• Work with team to maintain Salem preference card system to include but not limited to: Data clean up (equipment, procedures, preference cards, etc.)
• New card builds
• Removal of old cards
• Product/materials updates (ie. new products, back order replacement etc.)
• Peoplesoft changes (or current materials management system)
• EPIC upgrades and changes
• Request new procedures
• Add/edit/inactivate equipment, etc.
• Utilize reports and dashboards to manage preference card accuracy and utilization
• Develop preference card communication workflows.
• Report at leadership committee meetings and other committees as needed.
• Leverage MGH periop leadership to align and standardize preference cards, processes, and systems.
• Develop an in-depth understanding of all areas of preference card use, operational, financial, and analytical.
• Develop deep familiarity with Epic and its use across Salem operating room and procedural areas. Appreciate various modules capabilities for nursing documentation, materials charging and scheduling.
• Develop deep familiarity with SPM and its use across Salem SPD, operating rooms and procedural areas. Appreciate various modules capabilities and workflows.
• Ability to understand operational workflows, system build and configuration, and define and implement system optimizations to increase efficiency and effectiveness of workflows and systems.
• Ability to work with software vendors as needed.
• Create unified reporting that describes preference card utilization levels across the operating room and procedural areas if applicable. Provide monthly reporting and serve as a reference point to the organization.
• Monitor and reinforce adherence to Salem and MGB policies.
• Act as a member of the Salem Perioperative Team, lending talents and time to local efforts. Inform Perioperative Services of best practices that may be adopted from entities utilizing the preference card system.
• Communicate with and take direction from the Executive Clinical Director, Surgery as well as the MGH Senior Director of Central Sterile Processing and Supply.
• Participate in Perioperative initiatives - take responsibility for project-related tasks and communication.
• Able to work with Digital technical resources and translate technical "speak" into common language for operational resources.

• Working knowledge of EPIC electronic medical record, 3-5 years of operating room or central sterile processing, surgical supplies, or comparable experience preferred.
