Location: Princeton, New Jersey
The Princeton Materials Institute (PMI) seeks a highly motivated individual to serve as Assistant Grants Manager. PMI is an interdisciplinary teaching and research institute at Princeton University that seeks to integrate the sciences and engineering, with work spanning from fundamental theory, through applications and entrepreneurship. In addition to interacting closely with other departments and centers at Princeton University, the institute collaborates extensively with industry, government laboratories, and other academic institutions. Reporting to the Grants Manager, the successful candidate will support activities related to pre- and post-award for sponsored project grants administration, financial and non-financial activities, as well as departmental purchasing.
Proposal Development (pre-award administration):
-Update biographical sketches, current and pending reports, and collaborator documents in consultation with faculty using SciENcv and ORCID
-Prepares proposals in Princeton ERA; ensuring compliance with Princeton University and sponsoring agency policies and procedures
-Communicate regularly with faculty members, ORPA, outside PI’s, and other institutional or governmental administrators to facilitate proposal preparation and submission procedures. Consults and advises project members on content and documentation necessary for proposals to be submitted to funding sources
-Prepares budgets, budget justifications, and assists with proposal timeline development
-Ensures accuracy and timeliness of all grant-related materials and applications
-Collaborates with PI(s) and department administrators to successfully identify Sponsored Programs and funding opportunities
Award Management (post-award administration):
-Actively tracks committed effort for faculty, graduate students, postdoctoral associates, and other technical staff and assists with effort certification; ensuring compliance with Princeton University policies and sponsor guidelines
-Initiates and coordinates award/sub-award/contract process; processing grant extensions, supplements, re-budgeting, and transfers to other institutions
-Prepares cost transfer requests, no cost extensions, and other prior approval requests as needed
-Monitors allowable and allocable costs, spending patterns and balances to prepare financial reports and communicates progress with Faculty/Staff. Works closely with Sponsored Research Accounting to review and verify reports, plus assist with requests from internal and external auditors
-Provides financial analysis of sponsored research spending and projections as requested by faculty
Compliance and Reporting:
-Assists with reconciling grants monthly, expense monitoring of faculty sponsored/non-sponsored funds, tracking and monitoring department cost-share commitments, and processing journals as needed
-Assists with the preparation and submission of progress reports and close-out documents as required by Princeton University and sponsoring agency policies and procedures
-Communicates sponsored research and university financial policies and regulations to faculty, staff, and students; ensure departmental compliance with applicable sponsor, federal, and university regulations, policies, and procedures. Ensure spending aligns with awarded budgets and assist with obtaining necessary approvals on purchases
-Verify Responsible Conduct of Research (RCR) and E-verify is completed for those charged to sponsored research which is required by Princeton and multiple federal sponsors. Ensure Foreign Influence policy is followed
-Create and maintain Sponsored Project files, including record retention as required by Princeton and Federal and non-Federal sponsors
Financial Administration:
-Reviews and approves expenditures up to assigned approval threshold
-Assists with day-to day financial functions including assisting with labor accounting approvals
-Attend all ORPA and SRA trainings to stay up to date on best practices, regulations, policies, and procedures.
-Spend time with grants managers to expand knowledge base and skill-set necessary for to supporting larger, more complex grants (cost share, subawards, fabricated equipment) and larger faculty portfolios
Business Office Administration:
-Assists with the preparation and processing of expense reports, reimbursements, requisitions, and similar financial related activities
-Provides general support for the Business Office and backs up the Grants Manager as needed
-Other administrative duties as assigned
-Bachelor's Degree and 3+ years of related experience.
-Knowledge of grant proposal process and grant administration required
-Experience with grants administration; financial analysis, projections, and budgeting.
-Knowledge of federal sponsoring agency policies and guidelines.
-Exceptional attention to detail, ability to take initiative and work independently in a fast-paced environment, strong organizational and interpersonal skills.
Preferred Qualifications:
-Knowledge of PeopleSoft, Princeton ERA, and Cognos.
-Princeton University or similar experience working at an Institution of Higher Education.
