This position will report to the Director of Patient Access. This position will be responsible for assisting in the Central Referral Office (CRO) for Medical Oncology of scheduling all new patient referrals that come into CARTI. This position will also assist in the Call Center and answer all incoming patient phone calls during high call volume hours.
JOB SPECIFIC DUTIES AND RESPONSIBILITIES:
Serves as the one of the primary persons for external resources to schedule new Medical Oncology patient appointments.Ensures all appropriate clinical records are obtained prior to patient scheduling appointment.Contacts patient to schedule appointment.Responds to referring provider regarding the status of the patients appointment in a timely manner.Competent in administrative functions of Electronic Medical Records.Performs medical receptionist duties as necessary for the CRO department. Answers telephone, screens calls, takes messages and provides accurate information.Demonstrate impeccable integrity in a professional and courteous manner at all times.Other responsibilities and projects assigned by management as needed.Update Salesforce for tracking the process of new patients with the CRO department.Process all incoming calls by screening to route in the appropriate manner, following protocol.Speaks clearly, distinctly, and with a friendly, courteous tone at all times.Answer high volume of inbound calls, react effectively and calmly in emergencies.Keeps records of switchboard function according to guidelines and instructions.Takes messages following guidelines related to timeliness and accuracy and processes appropriately.Respects confidentiality of patient information at all times.Demonstrate impeccable integrity in a professional and courteous manner at all times.Other responsibilities and projects assigned by leadership as needed.Assists other departments as directed.

EDUCATION, CERTIFICATION, LICENSURE and REGISTRATION:High school diploma or equivalent
EXPERIENCE, KNOWLEDGE, SKILLS and ABILITIES:
Minimum of two years experience working in a medical office settingExperience scheduling patient appointmentsExperience working with Electronic Medical Records (EMR)Strong knowledge of medical terminologyKnowledge of gathering, interpreting and reporting insurance informationKnowledge of grammar, spelling, and punctuation to type from draft copy, review and edit reports, and correspondenceBasic computer and office equipment skillsTechnical skills and knowledge to properly schedule appointments and maintain patient records.Time management and organizational skills
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
INTERPERSONAL SKILLS:
Must interact and communicate well both verbally and in written form.Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
