Job Summary:
The Administrative Assistant in the Department of Kinesiology is a responsible for the administrative details of the office and provides support to the Department Head, faculty and students.
Duties and Responsibilities:
Assists supervisor with such administrative details as arranging itineraries, agendas, or making telephone contacts; arranges meetings and composes minutes and attendance; maintains appointment calendar for supervisor; arranges meetings and conferences under general direction.
Verifies forms and correspondence for accuracy of spelling, grammar, punctuations, spacing, neatness, or general appearance.
Assists supervisor in the compilation and coordination of data for outcomes and reports, utilizing some degree of research and statistical ability; prepares the data in narrative form subject to review by supervisor.
Acts as office receptionist; receives, screens and routes visitors, answers routine inquiries by phone, email or in person or refers to the appropriate person. Presents a professional appearance while representing the University with internal and external clients.
Receives, sorts according to content, and distributes mail; composes correspondence requiring attention of supervisor; independently answers correspondence requesting standard information or materials; may sign supervisor's name to correspondence; generates requisitions and similar papers of routine nature, as directed.
Under general guidelines, may create, supervise and/or maintain files, reports, tables, charts, databases, and records of a complex nature.
Maintains necessary inventory of office supplies, materials, furniture, and maintenance contracts for equipment; to include assisting supervisor with account balances from all budgets; generating and monitoring orders; collecting data for travel and reimbursements.
Maintains course schedules and catalog changes, master room calendar, validation of student records, and academic standings.
Records verbal and numerical data such as personnel and payroll information including preparation of contracts (e.g. faculty and student), specifications, or other forms requiring precise knowledge of methods, procedures, policies, or other pertinent information. Communicates with appropriate office to verify processes and procedures.
Assists with registration and student orientation.
Performs related work as assigned.
Required Minimum Qualifications:
High School diploma or equivalent, and
three (3) years equivalent experience in clerical or administrative support
