Job Description:

Reports to the director for Fitness and Recreation. Assists director with daily activities including developing visual tools for presentations, report facilitation, maintenance of departmental files, agreements and contracts, updating and developing department information, and other duties as assigned. Provides support for presentations and disseminating department information to campus programs and entities, as needed. Develops and performs office administration/management and enforces policies.

Essential Duties



  • Oversees and provides professional administrative support, financial management, and budget planning for the department

  • Maintains personnel files and updates incoming and outgoing employee information

  • Oversees records maintenance, to include but not limited to inventory, personnel, and office files

  • Prepares and maintains Memos of Agreements with other university entities

  • Assists with developing, implementing, and interpreting policies and procedures, ensuring compliance with Federal, State, and University policies and regulations

  • Coordinates and executes department events including staff development

  • Assists with Pcard and Concur card management

  • Assists with OU Foundation funds including fundraising endeavors as guided by the OU Foundation, fund distribution, projects like Giving Day, and online portal updates through the department website

  • Provides support with purchases, travel, policies and procedures, awards and scholarships, funding requests, and reimbursement requests

  • Assists with website maintenance, social media, content development, uniforms, recruitment materials, etc.

  • Assists with negotiations with contractors and vendors; maintains contracts and agreements for summer camp and other events

  • Coordinates annual report information including maintaining and collecting department assessment and develops content

  • Creates and disseminates meeting agendas and notes on behalf of the director

  • Completes within the first year of being hired and then maintains an American Heart Association or American Red Cross instructor training as provided by the department and supplements the department’s CPR/AED/First Aid teaching schedule

  • May assist with fitness classes and special projects related to members and the OU community

  • May assist with student employees, as needed

  • Performs various duties as needed to successfully fulfill the function of the position, department, and Division of Student Affairs

Required Education and Experience: High School diploma or GED, AND:



  • 12 months office, clerical or administrative experience


Skills:



  • Working knowledge of office procedures

  • Working knowledge of accounting processes

  • Ability to use a computer and calculator

  • Knowledge of Microsoft Office Suite(Outlook, Excel, and Word)

  • Excellent interpersonal skills

  • Ability to work as a team member

  • Ability to complete tasks in an efficient and timely manner

  • Must be detail oriented

  • Ability to multitask, be organized, and self-motivated

  • Ability to communicate verbally and in writing

  • Basic math skills


Certifications:



  • Valid driver's license to drive university vehicles when necessary

Departmental Preferences:



  • 24 months customer service experience.

  • Experience in a higher education or non-profit environment is preferred.
