About the position:


The Document Control Administrator is responsible for the collection, filing and distribution of all project management and engineering documentation relating to the design and manufacturing of heat exchanger products. This position will provide administrative support to the quality team, to include the following:

  • Conducts self in a considerate, professional, cooperative and helpful manner toward fellow employees, customers, vendors and visitors.

  • Follows the Document Management strategy for the company along with the policies and procedures that address quality assurance, information standards, and regulations pertaining to Document Management.

  • Coordinate the day-to-day document control duties including the facilitation of capturing, properly indexing, securing, archiving, versioning, and keeping the project documents current.

  • Timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation is removed from distribution.

  • Prepare and receive Project Management transmittals for incoming and outgoing documents to Customers, Shop, Purchasing, Quality. Acquire all required signatures in sign-off blocks on documents prior to transmittal sign off and distribution.

  • Responsible to obtain "Certificate of Origins" from governmental agencies for international customers.

  • Data entry and data processing of various electronic and printed data.

  • Reviewing Change Notices for correct data and approvals.

  • Complete proofing and verifying accuracy of data entry.

  • Edit various documents received. Maintain revision control.

  • Review and ensure daily processing with changing priorities and expedite requests.

  • Ensure all written procedures and manuals used conform to corporate standards. (Review customer procedures and specifications for individual project documentation requirements.)

  • Participate actively in team-based design, development and enhancement of new and current systems involving documentation structures, systems applications, and documentation evolution.

  • Collect, report, and analyze various departmental reports, charts, and spread sheets. Miscellaneous copying, filing, scanning, etc.

  • Fill in for floor inspectors if needed.

  • Help Maintain Logs for calibration and Material Test Reports for all all product lines on the BA Site.

  • Provide administrative support to the quality team as needed.

  • Support business and operations administration.

  • Performs other duties as assigned.




Who you are:



Bachelor's degree preferred and 3+ years of practical hands-on experience in a document management role. Basic understanding of engineering, quality and fabrication documents, to include the following:

  • Familiar with automated document management applications and the aptitude to continually learn new software or applications

  • Advanced computer skills with excellent MS Suite software knowledge and working knowledge of Adobe Acrobat.

  • Strong written, oral, and interpersonal communication skills; strong and effective organizational skills and proven capability to manage multiple projects.

  • Comfortable with working with remote employees and managers using video conferencing, email, messaging and phone.

  • Detail oriented, self-directed and highly-motivated with a strong sense of urgency.

  • Able to work in a fast-paced and deadline-driven environment.

  • Must have strong administrative and organizational skills with the ability to communicate well with others in a professional and respectful manner.
