Position Description

The Department Coordinator role is responsible for answering customer calls, maintaining schedules, and coordinating technicians as needed. Providing office support and assistance with a variety of clerical and administrative activities and related tasks.


  • Coordinate with customers, field, and DDL team to create and maintain smooth department operations.
  • Ensure efficient and accurate communication between Managers, Administrator, Dispatch, and Field.
  • Provide clerical and administrative support to Department Manager and general team.
  • Assist with project proposals and quotes including packaging and submitting the final proposals.
  • Compile, update, and maintain Department records and reports including, but not limited to reports, annual spreadsheets, contracts, labor reports, warranty spreadsheets, renewal notices/contracts, proposals, and other misc. documents.
  • Create Department Work Order tickets and distribute to required parties.
  • Compile and/or validate Time Sheet Reports and engage with Payroll.
  • Perform timely and accurate ad hoc reporting, research and analysis as requested.
  • Provide thoughts and feedback to support process improvement.
  • Support and participate in the company safety program.
  • Perform other duties as assigned.
