Job Summary



Department-Specific Responsibilities


  • Maintains the chart of accounts including updating routing, global models, ensuring the Luddy chart of accounts is compliant with IU and Luddy Policy. This position will also create new accounts in KFS as needed for financial reporting purposes.

  • Processes KFS documents to manage accounts for all fund groups (general funds, endowments, grants, etc.) including, but not limited to general accounting adjustments, distribution of income and expense, transfer of funds and budget adjustments as needed.

  • Processes KFS documents as needed to update account information, global models, and eDoc routing.

  • Makes recommendations and create documentation on policies regarding routing, chart of account management, and accounts receivable.

  • Makes policy recommendations on how to best manage the commitments to faculty research accounts that ensures compliance with IU policy and ease of understanding for faculty.

  • Manages internal commitments to faculty research accounts and ensure the accounts are funded as per the internal Memorandums of Understanding.

  • Makes policy recommendations for Luddy auxiliary account management.

  • Manages auxiliary account(s) for Luddy (including processing the necessary monthly and year end KFS documents).

  • Manages all non-grant accounts receivable including sending invoices and following up with unpaid invoices regularly to ensure all invoices are paid in a timely manner.

  • Manages special financial projects on an on-going and as-needed basis.

  • This position does require the skills to explain financial concepts to non-financial people i.e. explaining faculty commitments to faculty.

General Responsibilities


  • Using knowledge and application of accepted procedures and standards, performs financial and administrative tasks related to managing the daily and long-term financial and/or administrative operations of an organizational unit or an academic, research, and teaching department within a school or college.

  • Makes recommendations on policies and guidelines for division/department activities.

  • Monitors expenditures and statement of accounts to ensure regulatory compliance and fiscal integrity.

  • Manages general appropriation, endowment, federal and non-federal grants and contracts, and gift funds.

  • Develops, plans, and makes recommendations on special projects, which may include space allocations, staffing, equipment purchases, and long-range plans.

  • Prepares operating and project budget drafts independently and/or in coordination with other finance staff. Regularly explains financial concepts to non-financial employees.

  • Monitors division/departmental budgets and resolves or recommends resolutions for any significant deviations from approved budgets.

  • May conduct a variety of human resources activities including employment, labor relations, benefits, training, and classification for unit/department.

  • Ability to interpret financial documents from an accounting, policy, and practice perspective




Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary



$51,000 - $55,000 per year based upon experience and internal equity.



Work Hours



Monday through Friday, 8:00 AM to 5:00 PM (EST) with a 1-hour lunch.


Occasional evenings, weekends, and/or holiday hours may be required.
