Purpose
The Operations Administrative Assistant provides operations and administrative support to the Operations Manager/team. S/he coordinates and supports the work of the Operations team and directly reports to the Operations Manager. CWS seeks a motivated, detail-oriented person with strong organizational skills and a team player. This position accomplishes this through a respectful, constructive, and energetic style that complements the other team members and is guided by CWS's operational objectives.
Responsibilities
Provide support to the key initiatives of the Operations team.
Manage special projects through communications, administration, and digital information management.
Organize and coordinate staff-wide training as needed.
Provide administrative support, such as logistics for meetings, events, and travel as needed.
Maintain shared calendars and organize team and cross-departmental meetings.
Administer and maintain a departmental SharePoint site, including a centralized document storage system.
Research best practices and industry standards.
Create PowerPoint presentations in support of Operations leadership.
Other duties as assigned by the Operations Manager.
Qualifications
Skills and experience:
Minimum of 2 years of work experience in administration and operations.
Strong independent thinking skills with the ability to work independently and follow through on assignments with minimum supervision
Strong organizational skills with demonstrated experience working on multiple projects simultaneously
Strong interpersonal skills with the ability to build relationships within the organization and externally
Excellent administrative and customer service skills
Ability to act with discretion and maintain confidentiality
Excellent written and oral communication skills, including the ability to draft correspondences and other communication with minimum direction
Professional maturity and strong decision-making skills
Forward-looking thinker who actively seeks opportunities and proposes solutions
Proficiency and experience administering Microsoft SharePoint sites
Education:
Bachelor's degree preferred
