Job Description Summary



The Grad Center is a hub for information, programming, resources, and support for graduate and professional students at Penn. In this role, you will be a key partner for our students by helping them navigate the various grant programs and awards available while also ensuring the integrity of financial transactions performed within the department.



The Graduate Student Center administers a number of need-based grant programs and awards on behalf of the Office of the Provost, in addition to overseeing a growing number of individual student grant and fellowship programs. This position provides administrative support for these programs, as well as working with staff in the Grad Center and Provost Office advance program goals. Under limited supervision, you will perform general financial management and processing of individual grants processing, including utilizing Ben Financials and other University systems to facilitate student payments and reimbursements, purchases, budget reconciliation, and transfer of funds. The administrator will also assist with program outreach and individual advising regarding eligibility and resource referrals. This person will also serve as a member of and office representative on several grant evaluation committees, including for the Graduate Emergency Fund, PhD Grants portfolio, and others. Reports to the Graduate Student Center Director. This position is expected to be in-person or hybrid with a minimum of three (3) days in the office.




Job Description





Duties:

 

 


  • Manage grant applications and inquiries and communicate with applicants as needed to obtain required documentation or to review and confirm eligibility and compliance with award requirements. This will include individual consultations and resource referrals for students seeking financial support, as well as making recommendations to grant committees regarding individual applicants.

  • Serve as a member of and office representative on several grant evaluation committees, including for the Graduate Emergency Fund, PhD Grants portfolio, and others.

  • Process relevant financial transactions via Ben, Penn Marketplace, and Concur.

  • Conduct outreach and advise students and staff on relevant University and student government programs and procedures related to University funding and grants.

  • Review and coordinate individual grant notifications and award letters.

  • Assist with financial administration of Fontaine Society programs, including individual grants and student events.

  • Serve as a liaison to Student Financial Services and Office of Student Activities, and as staff contact for relevant financial transactions for graduate student organizations.

  • Exercise resource stewardship (financial and human resources where applicable) and report known or suspected irregularities to the Grad Center Director and the Director of Finance and Administration in the Provost's Center.

  • Perform additional duties as assigned

 




Qualifications:

 

 


  • High School degree and a minimum 5-7 years administrative or program management experience required.

  • This position requires an individual who likes working directly with students and in a fast-paced office environment.

  • The successful candidate with have a strong personal work ethic and appreciate the benefit of working with a team to support impactful grant programs and the many graduate student activities administered through the Graduate Student Center.

  • Experience working with historically underrepresented and financially disadvantaged or high-need populations strongly preferred.

  • Experience working with graduate students and/or in a University setting strongly desired.

  • Must be able to communicate clearly and effectively and demonstrate a keen attention to detail.
