The Corporate Services Coordinator is responsible for collecting and summarizing the company expense data used to provide reports to Sr. Management to ensure budget polices are being followed. In addition, the Corporate Services Coordinator manages the library of department procedures and serves as the Company administrator for the shipping account and prepares invoices for management's approval. The Coordinator will maintain electronic files used to track building maintenance schedules and will also maintain Cenlar's vehicle records to ensure the registration and inspection are current for all company vehicles. The Corporate Services Coordinator supports Space Capacity Management by processing daily personnel adds, changes, and deletions tickets. The coordinator will support physical security at Cenlar by processing access recertifications, ensuring procedures are up-to-date and escorting contractors, when necessary.
Responsibilities:
Collects data and performs data summaries
Creates standard monthly reports and creates customized reports per Sr. Leadership request(s)
Completes monthly and quarterly physical access recertifications for sensitive areas
Performs security escort to ensure confidential information is protected
Manages library of departmental procedures in accordance with Cenlar policies
Prepares invoices for manager's approval signature
Serves as Company administrator for shipping account
Maintains electronic files covering inspections, preventative maintenance, and miscellaneous schedules for corporate services and facilities areas
Maintains records regarding Cenlar vehicles to ensure registration and inspections are current
Keeps a spreadsheet of vehicles maintenance schedules and monitors gas usage
Handles mailroom supply orders
Ensures employees have name plates when they join the company and ensuring name plate holders are placed with furniture changes
Serves as an additional administrator for the space reservation system
Processes daily personnel adds, changes, and deletions service requests
Assists with project moves by placing signs to assist movers
Participates in the budget process by consolidating inputs and tracking expenditures
Serves as a Records Coordinator
Other duties as assigned
Qualifications:
High school diploma or GED required; Associates Degree or higher preferred
2 to 5 years of experience preferred
Ability to work independently and as part of a team while meeting deadlines without constant supervision
Proven customer service and problem solving skills.
Excellent written and verbal communication skills.
Ability to organize and coordinate work efficiently and set priorities.
Flexibility to work beyond the regular work schedule.
Knowledge of MS Office as well as SharePoint
Ability to lift 50lbs
Assigned-Hybrid position: 3+ days/week on site and up to 5 days based on business needs or schedules
