Position Summary

Works in conjunction with Goodwill's management team to research and secure items and services at the best value. Builds and maintains good working relationships with our vendor partners and internal customers. Assists in controlling the centralized supply inventory and systems to include ordering, invoicing, audits, conducting periodic inventories and data entry. Manages the National Cooperative Purchasing Program (NCPP) and its initiatives. Works directly with Goodwills nationally (and in Canada) to determine trends in supply and service needs. Works with vendors and manufacturers to obtain discounted prices based on national volumes and initiates requests for proposals (RFPs) when appropriate. Provides assistance to Goodwill of Central and Coastal Virginias (GCCVA) purchasing department.

Essential Duties(Other duties within the scope of this position may be assigned.)

1. Assists in filling internal supply order requests for our various locations. Provides for inventory control, maintaining processes and procedures in conformity with department policy and procedures. Strives to maintain minimum and maximum inventory levels at all times. Conducts periodic counts of inventory. Monitors changes in usages and makes recommendations to the Purchasing Manager. Maintains a safe environment and operating conditions within the assigned area..

2. Maintains independence in relationships with vendors and associates. Communicates with other departments as necessary to ensure efficient, effective, and positive relationships with internal customers. Provides reports and transparency of transactions for management as needed.

3. Assists in negotiating pricing and policies with new suppliers and vendors, striving to reduce costs and improve quality and service. Identifies vendor price discrepancies and communicates with vendors for resolution. Fosters positive, long-term relationships with all suppliers and vendors. Increases supplier awareness of our organizations needs and mission. Monitors supplier performance (delivery, cost, and quality) against expectations. Evaluates compliance per contracts. Provides regular feedback to enhance supplier performance.

4. Creates purchase orders, requests for quotes, general correspondence and other appropriate documentation related to purchasing. Researches inventory and data accuracy; enters material cost changes into purchasing software. Organizes and processes receiving transactions in purchasing software, reconciles vendor packing slips and invoices with purchase orders. Maintains documentation of vendor and customer data bases. This will include prices, alternate quotes, vendor and customer concerns.

5. Manages the NCPP program. Proactively encourages national Goodwill engagement and involvement in the NCPP. Works to understand the complex needs of Goodwills nationally. Actively requests and analyzes all usage data from vendors and from Goodwills. Utilizes data to assure it will result in programming that will yield greater cost savings and value for participating stakeholders. Preparation of comparatives and analysis of costs, full lifecycle costs and negotiated savings.

6. Provides communications, information and feedback to those Goodwills interested in the program that the NCPP offers through our vendor partnerships. Maintains the content and accuracy of the NCPP website. Maintains a spirit of cooperation and transparency. Provides marketing and communications required to effectively build support for the programs available through the Goodwill NCPP.

7. Works with vendors and Goodwills to standardize SKUs when appropriate. Elicits vendor proposals by writing and publishing RFPs for the targeted products or services, reviews RFPs for purchases of goods or services within the terms of the NCPP.

8. Provides regular feedback to vendors. Strives to build strong and effective relations with vendors and increase their understanding of Goodwills needs. Maintains preferred vendor source list for member use. Demonstrates transparency in its development and dissemination to the Procurement Manager and CFAO. Maintains independence in relationships with vendors.

9. Performs regular vendor evaluations in accordance with GCCVA policies. Monitors supplier performance (delivery, cost, and quality) against expectations. Verifies and reports commission payments required by our agreements. Investigates customer complaints. Documents results for the Procurement Managers review.

Supervisory Responsibilities

The associate in this position does not have any supervisory responsibilities.

Education/Experience/Certificates/Security Clearance

High School Diploma or GED required. Bachelor's degree preferred.

A minimum of 5 years' work experience in the procurement field required. Sales background is a plus.

No professional certifications are required for this position.

Valid state driver's license, insurance and satisfactory driving record are required.

Associates in this position will be required to successfully pass both state and federal criminal background checks and sex offender check.

Ability to operate PC and databases, proficiency with Microsoft Office Suite including Word, Excel, and PowerPoint and knowledge of accounting systems, required.
