The Human Resources Operations Coordinator will play a crucial role in supporting the HR department by managing various HR operational tasks including onboarding, new hire orientation, employee life cycle changes, payroll administration, data entry, data integrity, and benefits coordination.
Data Integrity and Quality
Achieves data integrity through entering and maintaining employee data in all systems
Consistently meets activity timeliness, accuracy, and quality standards
Processes employee life cycle changes and checklists such as promotions, transfers, and terminations ensuring accurate and timely updates in HR systems and documentation
Suggests business process improvements to gain efficiency within role
HR Compliance
Assists in monitoring the company's compliance with applicable governmental employment laws
Conducts annual audits of employee files for accuracy and completeness
Administers and tracks employee handbook acknowledgements and follows-up for completion
Participates in Human Resources courses, seminars, classes and webinars for skill and knowledge development
Onboarding
Collaborate with Talent Acquisition and acts as a dedicated liaison to ensure a seamless transfer of responsibilities from Talent Acquisition to HR Operations, specifically for the new hire and onboarding process
Coordinates with internal stakeholders to execute onboarding activities for new hires to ensure a consistent experience
Participates in new hire orientation sessions to familiarize employees with company policies, procedures, and benefits
Assists with the coordination of logistics for new hire orientation, including scheduling, technology requirements, and communication efforts
Assists with the development and implementation of the internship program, including defining program objectives, timelines, recruitment workflows, and all intern program related activities
Collaborates with the University Relations team to execute the overall strategy for attracting top talent from target universities and colleges
Compensation and Benefits
Assists with payroll administration process, ensuring accurate and timely processing of employee payroll, including data entry, deductions, and reconciliations
Audits and reviews monthly billing statements for accuracy and completeness
Effectively runs and distributes reports on an as needed basis
Understands and communicates benefit philosophy to employees
Effectively interprets FMLA implications as they relate to leaves of absence
Assists employees with benefits enrolment, changes, and inquiries, ensuring accurate and timely processing
Employee Management
Supports organizing various events
Assists Human Resources team with other projects and initiatives as needed
Participates in and helps to support and promote the company wellness program
Assists with preparation of presentations on various topics for internal and external use
Coordinates with marketing team to ensure employees are informed of events, notifications, or other important messages
Provides feedback at team meetings as well as contributes to learning topics as assigned
Preferred
BS/BA in Human Resources, business or related field
1 year of HR experience, including internships
Excellent attention to detail and strong problem-solving skills
Proficient in Microsoft Office Suite
