Job Description Summary

Reporting to the Director of Financial Assistance, the Student Employment Manager serves as the primary point of contact for all student employment activities on campus including the Federal Work Study Program and the Bentley Work Program. The manager works with campus partners to post jobs and onboard students, ensuring compliance with all Title IV regulations and federal/state labor laws. In addition, the manager provides information to newly enrolled and current students to assist them in finding on-campus employment by providing clear instructions and communications and exceptional customer service. The manager also works closely with payroll and financial operations staff to ensure students are paid accurately and government administrative and reporting requirements are met.

Essential Duties

  • Actively maintain internal policies and procedures to meet compliance requirements for all Title IV regulations and state/federal laws.

  • Update the Student Employment handbook (for students) annually and regularly update information posted on the Student Employment web site with helpful information for new and continuing students.

  • Maintain a Student Employment guide for hiring managers/supervisors that includes training aids and outlines government laws and regulations that must be followed. Actively provide clear guidance on the responsibilities of student hiring managers vs. student employment staff.

  • Create an institutional shared calendar to stay on track with cycles for hiring students to ensure plenty of lead time for a smooth hiring phase at the beginning of each semester (from job posting to onboarding).

  • Create and maintain an Outlook distribution list for student hiring managers to ensure important messages are delivered to all hiring managers.

  • Coordinate and work with one employee whose position is 25%-50% dedicated to assisting the Student Employment Manager during peak times and providing back-up during absences.

  • Provide in-person and/or online live training for new hiring managers before each semester starts. Offer periodic office hours for hiring managers who need one-on-one assistance.

  • Actively work with the Office of Orientation and Student Onboarding to guide newly enrolled students on what to expect about student employment at Bentley – both FWS (Federal Work Study) and Bentley Work Program students.

  • Proactively assist new students with the student employment hiring process to ensure that students with a FWS award can find on-campus employment opportunities.

  • Reconcile student employment data annually in preparation for required federal reporting.

Other Duties

  • Implement E-Verify in Workday for I-9 processing in partnership with Human Resources.

  • Identify areas to improve the student and hiring manager experience leveraging existing on-campus technologies.

  • Actively monitor general email accounts for both students and hiring managers to ensure quick responses and exceptional customer service.

  • Offer regular opportunities for hiring managers/supervisors and students to provide feedback on how the hiring process (including onboarding) can be improved.


Minimum Qualifications

  • Bachelor's degree, with at least three years of experience in a fast-paced office environment. Experience in financial aid, student employment or higher education strongly preferred.

  • Must be able to convey complex information effectively through in-person and written communications.

  • Must demonstrate strong interpersonal and organizational skills, including excellent attention to detail.

  • Must be adept at using technology and web-based applications.

Work Environment

  • Normal office environment with extended periods of sitting and computer work.

  • May travel to external events to represent Bentley Financial Aid office.
