Clinical Business Operations Representative 2
The University of Miami/ UHealth Department of Neurology has an exciting opportunity for a Full Time Clinical Business Operations Representative 2 to work at The Soffer Clinical Research Center. The Clinical Business Operations Representative 2 facilitates the prompt resolution of problems related to pre and post care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 2 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.
This position coordinates the clinical, administrative, and academic activities of the Cognitive Division's providers. This requires extensive coordination of complex activities, including patient scheduling and appointment reminders, monitoring the uchart inbasket and following up on patient requests between visits, obtaining prior authorizations, managing clinic closures, as well as preparation of documents, coordination of teaching activities, and physician travel schedules. Approximately 70% clinical support and 30% academic support.
Answer phones, triage, and follow-through on messages and information requests from patients using UChart, as well as internal and external customers.
Responsible for management and optimizing the physician's clinical schedule.
Proactively fills cancellations, reschedules, or other unanticipated openings.
Interacts daily with Director of the Division and Neuro Core staff regarding scheduling changes, new appointments, etc.
Ensures that the medical schedule is communicated in a way that is organized and accessible.
Acts as a point of contact for invoices, databases and reports.
Maintains historical records of the medical schedule.
Responsible for authorizations (procedures and medications)
Work closely with department's clinical operations staff to ensure seamless coordination between the faculty member's clinical activities and their academic/administrative work.
Administrative & Academic Responsibilities (30%)
Assists in the Collaboration with faculty, managers and finance division in the preparation of multi-media presentations and annual reports for submission to senior management.
Manages and liaises on special projects e.g. spacing, conference planning, speaker engagements, special meetings, inclusive of all logistics.
General and professional correspondence.
Responsible for coordination of the physicians' academic and clinical calendar to include interviews, meetings, lectures and conferences, departmental meetings Submit leave requests and PLRs.
Attend University and departmental meetings, as required.
Responsible for the travel arrangements, including reservations for hotels, air travel and the associated University of Miami forms required for reimbursements of travel expenses.
Update licenses, DEA, memberships, CME documentation, etc. as well as maintain updated files.
Assist with initial credentialing and re-credentialing, as needed.

Minimum Qualifications
High school diploma or equivalent
Minimum 1 year of relevant experience
