Position Summary:



We are looking for a talented Office Administrator who will play a critical role in ensuring the smooth operation of our office's daily activities. This position is responsible for managing the front desk, handling incoming mail and packages, answering phone calls, and maintaining the office's professional environment. Additionally, the Office Administrator will manage administrative tasks, coordinate office operations, and provide support to the HR team. This role will also include assisting executives with various administrative responsibilities.


The ideal candidate will be highly organized, detail-oriented, and capable of working independently in a fast-paced environment.



Essential Duties and Responsibilities:



  • Greet and welcome guests as soon as they arrive at the office.

  • Direct visitors to the appropriate person and office.

  • Order and maintain office supplies, equipment, and inventory.

  • Manage relationships with vendors, service providers, and building management.

  • Ensure the office environment is clean, organized, and conducive to productivity.

  • Coordinate mail, deliveries, and courier services.

  • Coordinate logistics for onsite and virtual meetings, including catering/onsite food orders, room setup, and IT support.

  • Manage meeting rooms and assist with event planning, including scheduling and setup.

  • Oversee office maintenance requests and vendor coordination.

  • Support onboarding of new employees, including preparing welcome kits and assisting with documentation.

  • Maintain employee records and update the HRIS system with employee information.

  • Coordinate interviews by scheduling candidates, booking rooms, and preparing materials.

  • Provide administrative support to the C-suite for meeting and travel related bookings.




Working Conditions:





  • This position required to work in an office setting. The role requires walking, standing, stooping, kneeling, and crouching. The employee must occasionally lift and or move up to 30 pounds independently.




Qualifications:



  • High school diploma or equivalent; a degree in Business Administration or related field is a plus.

  • 2-3 years of administrative or office management experience preferred.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.

  • Excellent verbal and written communication skills.

  • Problem-solving skills and attention to detail.

  • Working experience in a biotech/pharmaceutical is preferred.



Compensation Range: The base compensation range for this role is between $25 -32 an hour. However, the actual compensation may vary depending on your experience and qualifications.
