Overview

We are seeking a full-time Sales Programs Coordinator in our Olathe, KS location. In this role, you will be responsible for coordinating credits, debits, and orders for Garmin's dealer backend programs which include, but are not limited to, handling special credits and special orders through the entire life cycle of the program which involves documentation, research, validation, accurate accrual, timely processing of internal and external requests, providing program summaries, and providing superior customer service.

Essential Functions


  • Act as key authority and owner of processes to ensure adequate maintenance, documentation and compliancy of dealer backend programs representing various functions including sell thru, buy down, price protection, co-op advertising, volume rebate, and consumer rebate offers, associate purchase, promotional orders, consignment, tradeshow, and display orders

  • Maintain knowledge of and manage all Sales Programs through entire life cycle of the program within Oracle and supporting software such as OBIEE, Qlik and Microsoft Excel

  • Manage various Outlook inboxes by responding to questions/requests within 24 hours of receipt; sort and prioritize appropriately differentiating actions, identify and reallocate misdirected claims/requests to other internal departments

  • Directly communicate with Dealers, Distributors, end consumers, and internal customers concerning questions on balances, claims, or orders processed

  • Drive proper and accurate Sales Programs forms completion

  • Compile statistics and prepare various reports for management as required

  • Maintain knowledge of Garmin products

  • Participate in Dealer Marketing Programs Support team activities including, but not limited to, cross training on other Dealer Marketing Programs

  • Support positions to ensure proper coverage and assist with workload

  • Represent Garmin at industry and professional meetings and sales meetings and attend meetings/training sessions as required

  • Maintain open and honest communication with department supervisor/manager

  • Assist and support workflow for peer positions as work volume dictates, as well as answer customer phone calls, chats, emails, letters, and faxes

In addition to the Essential Team Functions listed above, each Sales Programs Coordinator will be expected to be proficient in the following specific functions: Rebate, Special Credits, Co-op Advertising

REBATE SPECIFIC FUNCTIONS:


  • Process internal validation to verify authenticity of claim and determine accurate allowance amount

  • Be the order/credit entry expert and authority on policies/procedures supporting rebate regulations through the Oracle order entry process

  • Provide accounting with information on short pays or denials including detailed summary, research, and supporting payouts or denials

  • Team with stakeholders on creation of rebate claim forms; act as consultant and advocate for updates with information gathered from invalid reporting and/ or customer feedback

  • Work with Garmin Warranty and Garmin Marine team to update and maintain the Marine Installation Rebate claim form year after year

  • Team with appropriate stakeholders for corporate lists for rebate kits distribution

  • Coordinate with 3rd party Rebate Vendor to set up/maintain Consumer Rebate site and submissions and collaborate with 3rd party Rebate Vendor to resolve any consumer rebate issues

  • Negotiate with external/internal auditors regarding disputed claims and communicate claims status with all stakeholders

  • Review, validate, and submit weekly third-party consumer rebate invoicing expenses to accounting for payout

SPECIAL CREDITS SPECIFIC FUNCTIONS:

  • Review claims and route for appropriate approvals based on delegation of authority

  • Process internal validation to verify authenticity of claim and determine accurate allowance amount

  • Be the order/credit entry expert and authority on policies/procedures supporting Buy Down, Sell Thru, and Price Protection regulations through the Oracle order entry process

  • Maintain open line of communication with internal sales team in order to provide a seamless transaction for both internal/external customers

  • Provide accounting with information on short pays or denials including detailed summary, research, and supporting payouts or denials

  • Manage accrual reporting of $50K - $20 million in sales programs

  • Negotiate with external/internal auditors regarding disputed claims and communicate claims status with all stakeholders

  • Manage incoming inquiries, answer questions, and provide pre-validation when requested

CO-OP ADVERTISING SPECIFIC FUNCTIONS:

  • Process internal validation to verify authenticity of claim and determine accurate allowance amount

  • Review dealer submitted claims, calculate Garmin's presence within the advertisement, and route credit requests for appropriate approvals based on delegation of authority

  • Provide accounting with information on short pays or denials including detailed summary, research, and supporting payouts or denials

  • Maintain open line of communication with internal sales team in order to provide a seamless transaction for both internal/external customers

  • Calculate/process monthly, quarterly, and yearly non-standard incentive co-op credit processing

  • Provide dealer specific calculated co-op accrual balances as requested by internal and external clients

  • Manage accrual reporting of $50K - $20 million in sales programs

  • Negotiate with external/internal auditors regarding disputed claims and communicate claims status with all stakeholders

  • Maintain/execute yearly Annuals and ensure they correspond with any and all contracts

Basic Qualifications

  • Bachelor's Degree AND a minimum 1 years of work experience in customer service OR a minimum of 5 years total equivalent combination of education and relevant experience

  • Demonstrated strong math and analytical skills

  • Must demonstrate proficiency using Microsoft Office Excel specifically in the creation and management of spreadsheets with formulas including, but not limited to, V-lookup and Pivot Table skills

  • Demonstrated proficiency and effective data-entry and ten-key skills

  • Demonstrated strong and effective verbal, written, and respectful interpersonal communication skills to work across functional and organizational lines with strong negotiating and analytical skills

  • Must be positive, detail/team oriented, multi-tasker, a driven problem solver with proven success in solving difficult problems with a high level of accuracy, and work proactively/effectively with the ability to prioritize with minimal supervision in a fast paced, deadline-driven environment

Desired Qualifications

  • Experience with Oracle applications

  • Garmin product knowledge

  • Order administration experience in a business-to-business environment
