Summary of Duties:

The Outreach and Mentorship Coordinator will provide support in the form of planning and coordinating program operations for outreach engagements, mentorship programs, and medical student led mentorship programming. The Outreach and Mentorship coordinator position is an academic-community collaboration between the WSU Elson S. Floyd College of Medicine and other Health Science Programs. 




Key responsibilities will include: faculty, staff and student recruitment tracking, Civicore input, purchasing, travel spend authorizations/expense reports, traveling for key events, meeting notes, coordinating with College systems, event support, community engagement, coordinating with graphic design for curriculum updates, submitting monthly volunteer forms, and other needed support activities.  The incumbent will serve as a program representative in the community and be a point of contact for internal WSU program participants.

 


This position is part time, 50% FTE.

 


Duties and Responsibilities:


40% Community Engagement


  • Build and maintain school relationships with administrators, site coordinators, students by participating in key meetings and youth engagements.

  • Support clinical relationship meetings as development of clinical youth opportunities are created.

  • Organizing events includes securing venue, speakers, outreach to community partners, promotion and supporting event execution.

  • Independently identify and respond to problems as they arise. Escalate issues to supervisor or other leaders when unable to resolve independently.

  • Develop network of relationships across WSU colleges to engage interprofessional students and maintain interprofessional activities delivered to the community.

  • Serve as a point of contact and resource for students throughout the WSU system regarding outreach and mentorship activities.

  • Maintain volunteer records including contact information, tracking of status for new volunteers and other items as applicable.

  • Serve as volunteers point of contact for administrative needs

  • Provide assistance at events including transporting equipment and supplies and event setup, facilitation and clean-up. 

  • Deliver presentations and facilitate community events. 


40% Office Support


  • Coordinate and make travel arrangements for the unit. Prepare and submit required travel documentation via Workday and other platforms as required. 

  • Reconcile purchasing card statements; record and provide monthly budgetary expenditure tracking.

  • Order equipment and supplies for the unit.

  • Perform fiscal duties on behalf of the Outreach and Mentorship programs. 

  • Support curriculum and materials updates; prepare necessary items for events.

  • Track and submit volunteer forms monthly. 

  • Track participant recruitments; ensure requirements have been met prior to event participation.

  • Document meeting minutes. 

  • Update College of Medicine digital event calendar. 

  • Develop recruitment tools. 

  • Serve as the central point of contact for Civicore input and data sharing.


15% Communications


  • Develop communications that connect with families in each of our programs.

  • Provide support to school educators needing WSU support in delivering College of Medicine programs.

  • Provide College of Medicine Communications team with requests for Outreach and Mentoring promotional materials.


5% Other


  • Other related duties as assigned




Required Qualifications: High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

 


Additional Requirements:


  • Experience in the area of community engagement, preferably working with youth.

  • Demonstrated experience utilizing Microsoft software such as Word, Excel and Outlook.

  • Ability to communicate effectively both orally and in writing. 

  • Must have valid driver's license and ability to drive for work purposes.

  • Must have ability to work flexible schedule, with the appropriate notice per WAC 357-28-252, including occasional evenings and/or weekends.




Preferred Qualifications:


  • Healthcare related training or experience.

  • Experience with facilitating small and large group meetings and/or with public speaking.

  • Marketing experience.

  • Higher Education experience.

Monthly Salary:

Range 38, $1,499.50-$1,943.50 (pro-rated at .50 FTE)

Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28 or applicable Collective Bargaining Agreement.
