One of my Construction clients is seeking 1 AIA Billing Specialist to join their team! If you have what is needed and you are ready to roll up your sleeves and get the job done, APPLY TODAY! What are we seeking?


We are looking for a highly detailed oriented professional to be responsible for the billing in our Invoicing Department- This includes but is not limited to all activities required to accurately invoice new construction and renovation projects along with all reoccurring revenues in compliance with standard AIA process, contractual obligations, invoicing portal, and special customer requests.


Additionally, this position will be required to have detailed knowledge of AIA billing practices along with a strong knowledge of construction contracts to ensure compliance with terms and conditions while maximizing opportunities for revenue recognition and limiting Account Receivable issues.


Day to day responsibilities:


* Effectively utilize our workflow tools ticketing system to manage workload and track projects


* Prepare and submit invoices according to AIA standards, contract terms, and company policy in a fast-paced environment for multiple clients on a monthly basis


* Interface with internal and external parties (i.e. Contractors, Vendors, Project Managers, Customers) to gather relative information for proper and accurate billing of projects, and to resolve any issues


* Attention to detail to accurately identify contract fee type, deposits, change orders, payments, and the number of that particular pay application prior to submitting invoice


* Partners with AP and AR teams to research and reconcile billing related issues


* Adherence to strict deadlines and the ability to "own" all aspects of this position


* Monitors all lien notices received, and follows up on unconditional waivers


* Other duties and special projects as assigned


Requirements needed to perform this position, effectively:


* A minimum of 2-3 years' experience in billing medium-large-scaled construction projects in accordance with AIA billing standards and methodologies


* Experienced billing non-AIA projects in accordance with various contract types such as Lump Sum, Fixed Price, Cost-Plus, and Time & Material projects as examples.


* Understanding OCIP and CCIP documentation and the ability to interpret contract language to ensure accuracy in billing


* Detail oriented and capable of reviewing data to find variances, trends, and errors


* Follow instructions and procedural guidelines


* Solid organizational and time-management skills, including the ability to advance numerous competing priorities


* Provide a high level of customer service


* Must possess excellent mathematical skills


* Coachable, reliable, and must display a positive attitude during stressful situations


* Thrives in a complex, fast-paced environment that offers continuous learning of software applications and operational improvement


* Strong interpersonal and communication skills; speaks and writes in a clear, concise, and grammatically correct professional manner


* Strong analytical skills


* Flexible to work extra hours as needed to ensure all billing deadlines are met


Education requirements:


* Associates degree


Preferred Software skills:


* Microsoft Dynamics AX or other ERP Applications


* Service Now


* Teamwork and Team Desk


* Smartsheet


* Proficient with MS Excel Education


Preferred industry experience:


* Hospitality experience


* Background in access control & door hardware scheduling
