The Office Coordinator (OC) will work with Corporate Services, Consulting, and Operations & Management team members to create a memorable customer service experience and ensure smooth and efficient office operations with implementation and execution.
Essential Duties
Facilitates office operations: setting expectations with staff on working together to keep the office looking professional (clean, in compliance) and teaming with other departments as needed.
Works with Office Leader (OL) and others in office on implementation and execution of office operations such as deliveries, meet/greet, ordering of food, dishes, mail, packages, hanging companywide signs as needed, etc.
Responsible for opening/sorting mail, route mail to proper staff members, handles outgoing mail and shipping services. Can coordinate with other PDSs (Project Delivery Specialist) as needed.
Manages purchasing for office supplies, coffee/water, vending, paper, etc along with restocking.
Manages low to intermediate level of maintenance locally with on the ground items that need to be executed such as office equipment, light bulbs, batteries in clocks, keyboard tray installs, fire extinguisher, etc. Items that require additional spending, or communications with the landlord dealing with the brick and mortar go through the Facilities Manager (Chris Wade).
Responsible for being proficient in use of all office equipment (i.e., postage machines, copiers, printers, scanners, a/v equipment, etc).
Responsible for internal set up for new hires working with IS and Employee Manager.
Coordinate with Health and Safety on ergo evaluations on new hire set up.
Assist with coordinating corporate functions such as Founders Day, Holiday Party with onsite fun committee.
Mobilizes office members to address office-level decisions (e.g., snack choices, how the office chooses to come together for fun and/or to support the local community).
Participate in sustainability and wellness initiatives.
