The Commercial Sales Administrator will provide comprehensive administrative support to the commercial sales team, ensuring the smooth operation of day-to-day tasks, project management, and communication. This role involves coordinating with various internal teams to manage sales processes, reporting, and resolving issues, while also supporting strategic initiatives like RFPs, BIDs, and trade shows. The ideal candidate will be highly organized, detail-oriented, and an effective communicator, ensuring efficient operations within the commercial sales division.
This is a hourly, non-exempt position. The pay range is $17-$22 per hour.
Key Responsibilities:
Sales Data Entry: Accurately enter and maintain sales data for the commercial sales team.
RFP and BID Coordination: Assist the commercial sales team with the preparation and submission of Requests for Proposals (RFPs) and BIDs for large projects.
Commission Management: Calculate and track monthly and quarterly commissions for the sales team; prepare and distribute commission statements.
Reporting: Generate and distribute various sales reports, including:
Daily/Weekly Sales Flash Reports in Excel format.
Monthly Leader Boards for performance tracking.
Month-End Sales Reports in Excel format.
Leads and Billing Support: Provide administrative support for the leads list and assist commercial representatives with billing issues, acting as a liaison with the billing department.
Service and Scheduling Support: Facilitate communication between commercial representatives and the service and scheduling teams to resolve any service or scheduling issues.
Event Planning: Coordinate group outings, meetings, and commercial trade shows, including booking meeting rooms, hotels, flights, and other necessary arrangements.
Marketing Collaboration: Work closely with the marketing team to support commercial sales initiatives and promotions.
Qualifications:
Proven experience in sales administration or a similar role.
Strong proficiency in Microsoft Excel for reporting and data management.
Excellent organizational and multitasking abilities.
Effective communication skills for cross-departmental collaboration.
Ability to manage multiple projects and deadlines efficiently.
Experience in planning events and coordinating logistics is a plus.
Work Environment:
This position is office-based and may require occasional travel for meetings, trade shows, and company events.
