POSITION SUMMARY

The Project Coordinator supports Project Management and field teams in daily project processes. Responsibilities include drafting pre-construction documents, maintaining project files, organizing production quantities, and coordinating pay estimates. The role involves managing change requests, tracking invoices, preparing meeting documents, and overseeing material orders.

YOUR ROLE

• Draft pre-construction documents (subcontracts, submittals, material sheets, key personnel letters, plans, addenda, specifications, and schedules) for Project Manager review.

• Set up and maintain project job files.

• Organize production quantities and coordinate pay estimates with PM/PA/accounting based on approved documents.

• Assist with change management by creating and tracking change requests.

• Solicit subcontractor and supplier quotes as needed.

• Track subcontractor invoices and payments.

• Assist with monthly project schedule updates.

• Correspond with owners and design consultants as needed.

• Prepare project meeting documents.

• Support Project Managers with special projects.

• Assist operations personnel, including Project Managers and Superintendents.

• Manage daily material orders for concrete, base, asphalt, etc., coordinating with Project Managers/Superintendents/Foremen.

• Order materials to keep crews moving, based on the approved schedule.

• Serve as primary contact with vendors for material orders, ensuring timely delivery.

• Ensure major orders are received according to shop drawings and quantities, and process delivery tickets with phase codes for PA.

• Issue purchase orders with appropriate job cost codes for materials requested by Foremen, Superintendents, and Project Managers.

• Acquire and maintain necessary excavation/ROW permits before job start.

• Coordinate electric service for projects, including obtaining addresses, submitting applications, and meeting with representatives.

• Ensure delivery tickets have pay items coded before forwarding to accounting.

• Request, track, and ensure compliance of Dig-Tess locate tickets.

• Update Redlines weekly for monthly submissions to owners and compile for project turnover.

• Assist with retainage collection, including documentation and on-site walkthroughs.

WHAT YOU BRING

• College degree preferred; high school diploma or equivalent required.

• 2-5 years of construction industry experience.

• Valid Texas driver's license required.

• Bilingual in Spanish preferred.

• Proficient in Microsoft Office suite.

• Strong written and verbal communication skills.

• Analytical skills for moderate complexity tasks.

• Ability to read and comprehend instructions and correspondence.

• Effective in small group presentations.

• Proficient in basic math (addition, subtraction, multiplication, division).

• Sound judgment in resolving moderate issues.

• Ability to influence others.

PHYSICAL REQUIREMENTS

A project coordinator in the civil construction industry needs to meet certain physical requirements to effectively oversee projects. They should have the stamina to spend long hours on construction sites, often in challenging weather conditions. Physical agility is essential for navigating construction sites, which may involve climbing ladders, traversing uneven terrain, and inspecting various structures. Overall, a project manager in civil construction must maintain good physical health and fitness to ensure they can actively engage with all aspects of project coordinating on-site.
