Martin/Martin is seeking an experienced HR Assistant II. The HR Assistant II position requires a strong understanding of HR administrative processes and a solid knowledge of HR. The ideal candidate will have experience in recruiting, benefits administration, leave management, and HRIS systems. Key responsibilities include coordinating recruiting efforts, managing employee benefits, processing leave requests, maintaining HR databases, and supporting various HR initiatives. The successful candidate will be a highly organized and detail-oriented individual with excellent communication skills and a passion for providing exceptional HR support.


Responsibilities include more complex HR administrative processes, which require more experience with benefits, recruiting, data integrity, policy interpretation, and familiarity with state/federal laws and regulations and ability to successfully support the business with HR administrative requests. Assist with one or more functional areas within Human Resources.


Recruiting Coordination

  • Build networks with recruiters, colleges, and employment agencies.
  • Manage job postings, screen resumes, conduct reference checks, and coordinate drug screens or background checks.
  • Track recruiting metrics, new hire bonuses, and referrals.

Collaborate with Hiring Managers

  • Coordinate recruitment with Talent Acquisition Manager.
  • Prepare offer letters, regret communications, and support legal compliance like Affirmative Action Plans (AAP).

Benefits Administration

  • Assist with annual open enrollment and update HR systems with benefit documents.
  • Handle inquiries from employees regarding benefit plans and policies.

Manage Employee Benefits

  • Process benefits enrollments, terminations, and reconcile insurance billing discrepancies.
  • Communicate with payroll, Paylocity, and carrier representatives.

Leave Management

  • Process leave-of-absence, disability paperwork (e.g., FMLA, Workers Comp), and handle related issues.
  • Provide customer support for all HR processes and programs.

Onboarding of New Employees

  • Conduct orientation sessions for new hires and maintain onboarding materials.
  • Create and process Personnel Action Forms (PAFs) for new hire documentation and salary changes.

Maintain HRIS Systems

  • Update HR databases and create events/tasks within the HRIS system.
  • Specialize in assigned HRIS modules and manage data accuracy.

Personnel Action Forms (PAFs)

  • Complete PAFs to track employee changes, including promotions, LOAs, and terminations.

Verification and Documentation

  • Process employment verifications and handle employee record updates.

Project Support & Collaboration

  • Support Sr. HRBP, Talent Acquisition Manager, and Director on special projects, lead initiatives, and assist across HR functions as needed.


WORKING CONDITIONS/SKILLS/ABILITIES

This position is primarily administrative in nature, working mostly inside of the office completing a wide range of activities. The following abilities are required:

  • Completing repetitive movement on tasks such as using a mouse or keyboard
  • Ability to remain stationary for long periods of time
  • Read, communicate, and document in English
  • Identify color
  • Determine and exchange accurate information
  • Occasionally move about outside of the office
  • Occasionally move or hold objects weighing up to 25 lbs
Requirements:

REQUIRED QUALIFICATIONS

  • BA in human resources, business, or similar field, or equivalent experience
  • 2-4 years of HR experience
  • Obtain initial HR certification within two years of employment from accredited institution (SHRM/Employers Council)
  • Handle confidential and sensitive information with integrity
  • Strong organizational skills with ability to prioritize
  • Strong verbal and written communication skills. Ability to speak clearly and maintain composure in confrontational situations
  • Ability to execute and lead projects independently
  • Proficiency in Microsoft Office, HRIS and ability to learn new software

DESIRED QUALIFICATIONS

  • Communicate and collaborate effectively with employees at all levels and across a broad range of functional areas
  • Experience working in engineering firms, professional service firms, or other firms with technically focused employees
  • Proficient in HRIS systems
  • Developing strong, trusting relationships throughout the company
