ODEI Events and Programs Coordinator

Reporting to the director, coordinate virtual, hybrid, and in-person events and programs that support inclusive excellence at the Larner College of Medicine, including lectures, panels, workshops, and trainings. Create annual event plans, including calendars, timelines, deliverables, communication strategies, and performance metrics to ensure all critical deadlines are met throughout the event planning and promotion process. Work with vendors including caterers, photographers, marketing, and coordinate contract processes. Regularly consult with the director on event budget status. As a member of the office team, provide coverage, contribute and collaborate on projects, and engage with team members, faculty, staff, and students.
Provide oversight, coordination, and support for the CMIE application and follow-up reporting process for all events and programs. Develop relationships with key institutional partners such as Medical Communications, Continuing Medical and Interprofessional Education, and College of Medicine Technology Services, as well as other campus offices, and student groups as needed to ensure event success.
Provide administrative support for events, speaker and award selection committees, including scheduling and attending meetings, recording and distributing minutes, following up on action items, and providing communications support. Working with external vendors ensure successful programming and compliance with UVM processes and policies.
Coordinate communication and marketing processes for all events, liaising with both internal and external stakeholders. Employ excellent written and verbal communication skills, display high attention to detail, and provide responsive internal and external customer service.
Associate's degree with one to three years of related experience required.
Ability to travel between worksites.
Must be able to work independently and as a team member with a diverse group of constituents, including academic and administrative leadership.
Ability to work in a collaborative and fast-paced environment.
Ability to work on multiple projects simultaneously and manage deadlines independently.
Working knowledge of software applications used to support office functions including Office 365, Zoom and the ability to adapt to evolving technology required.
Demonstrated commitment to fostering inclusive excellence in a multicultural environment.
Bachelors Degree is preferred.
Experience working in higher education desirable.
Experience with social media tools, techniques, analytics, and reporting.
Experience with digital content writing and editing.
Ability to troubleshoot user issues with social media platforms currently in use.
$22.00 - $25.00/hour
Bargaining unit position, External candidates must complete a 4-month probationary period, Occasional evening and/or weekends required (if non-exempt position, may result in overtime), A probationary period may be required for current UVM employees, Travel to and from worksites required, Background Check required for this position
