Job Title:Executive AssistantDepartment:Marketing and Communications | Administration

The Executive Assistant to the Senior Vice President (SVP) Marketing and Communications provides executive level support on a range of issues, special projects, and daily activities focused on advancing the work of Marketing & Communications and the university. Manages information of a highly sensitive nature and independently performs complex administrative work while maintaining confidentiality and exercising sound judgment; Reviews, coordinates and maintains SVP's schedule and calendar of activities; Maintains authority to receive, preview, direct, prioritize and monitor all mail and email; Interacts with and serves as a liaison to University leadership, members of the Board of Trustees, department staff, government officials, community leaders, and other internal and external constituencies; Demonstrates high level of political acumen while dealing with people and the skill and ability to maintain composure under significant pressure. Assesses inquiries and concerns directed to the office to determine next course of action. Plans, organizes, prepares agendas, and attends meetings, as necessary; Arranges and coordinates travel, oversees the preparation of detailed trip itineraries; Serves as liaison to fiscal and human resources partners; Manages a wide range of office operations to support Marketing & Communications physical office suite and other senior leaders in the office; Possesses strong knowledge of and demonstrated ability to understand and interpret university policies and procedures. Maintains ability to delegate appropriately and manage follow ups; Tracks progress of issues and projects to final resolution. Extracts and synthesizes information from a variety of sources, clarifies information as necessary, and translates, defines, analyzes, and presents information clearly; Generates reports, presentations, correspondence, news releases, letters, memos, contracts and forms; Exhibits comfort using various software programs; Perceptive of people and situations and advises and assists on a range of issues, special projects, and daily activities accordingly.





Required Qualifications:


Bachelor's degree in a related field and a minimum of four (4) years of relevant experience, or equivalent combination of education and experience. High level of political acumen and ability to maintain composure under pressure; ability to extract and synthesize information from a variety of sources and to translate, define and present those issues; excellent interpersonal and oral communication skills; demonstrated analytical and investigative skills; adept at applying various software programs (word processing, spreadsheets, databases) and ability to learn new software, as necessary; ability to establish goals and workload priorities with competing deadlines; skill to effectively exercise discretion in dealing with controversial or potentially sensitive topics; initiative and ability to work independently and as part of a team.
