Job Summary
This critical Administrative Assistant role helps to support Recreational Sports programmatic and event coordination in partnership with the Associate Director of Programming and the programming units directly supporting student wellness and success. This position involves a diverse range of tasks, combining organizational skills, attention to detail, ability to maintain confidentiality, and excellent communication abilities.
Department-Specific Responsibilities
Provides administrative support to Recreational Sports programming units, exercising confidentiality, tact and diplomacy.
Manages executive's calendar, meetings, travel, budget, and correspondence.
Provides support for the collecting, organizing and reporting from various sources related to the participant experience and involvement in RS programs.
Collaborates with assigned workgroups to support administrative aspects of ongoing projects.
Assists in organizing meetings, preparing materials, and maintaining notes and action items.
Assists in supporting Recreational Sports events to highlight and celebrate the member and student employee experience,
Supports scholarship and student employee application processes.
Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.
Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.
General Responsibilities
Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
Organizes office operations and procedures, such as the creation of Word and Excel files, bookkeeping, and preparation of payroll, flow of correspondence, filing, requisition of supplies, and other office services.
Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
Monitors the use of office supplies and equipment, reorders items as required.
Ensures that office procedures and policies are being maintained and communicated.
Compiles, copies, sorts, and files records of office activities.
May perform other duties related to maintaining an internal website and/or working with social media.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. It requires the ability to move and transport objects and equipment weighing up to 10 pounds. The person in this role must be able to perform the essential functions with or without an accommodation.
