Position Summary


This position will be responsible for providing support to the Global Government Affairs team and, as such, will be responsible for representing them in a professional and congenial manner in person, in telephone conversations, and in written correspondence Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information request, preparing reports and correspondence. The role requires strong professional and communication skills in order to liaise effectively with Executive Assistants across the Carlyle organization and with external parties, travel agents, office services, information technology and to safeguard confidential information. This position requires the ability to prioritize multiple tasks for multiple people, under pressure in a deadline-oriented environment.



Responsibilities



Primary Responsibilities



30% of time




  • Extensive calendar coordination: heavy scheduling and planning of internal and external meetings, including preparing necessary materials and organizing other resources (i.e. conference rooms, technology) for meetings; preparation for meeting documents, as needed, and coordinating team meetings and conference calls



20% of time




  • Arrange domestic and international travel itineraries; handle expense claims, ensure adherence to Carlyle travel policies, and track reimbursements.



10% of time




  • Field incoming calls and disseminate as appropriately. Calls are generally at the executive level and frequently require discretion and the ability to successfully direct such calls to the appropriate parties



10% of time




  • Assist with communication efforts: manage emails and coordinate communication for executives by reading, responding and following through



10% of time




  • Facilitate completion of paperwork, including preparing documents for necessary signatures, gathering requirements, etc.



10% of time




  • Excellent organizational skills, ability to prioritize own ad executives' time and tasks




Qualifications



Requirements




Education & Certificates





  • College degree preferred




Professional Experience





  • 5+ years of experience supporting senior level management required

  • Experience as a scheduler on the Hill is a preferred




Competencies & Attributes





  • Strong organizational/project management skills and detail orientation (attention to detail a must). Proven ability to prioritize/determine importance of requests and schedule accordingly

  • Excellent communication skills - both written and verbal; must have superb spelling, grammar and punctuation abilities

  • Ability to maintain confidentiality when exposed to situations/information of a sensitive nature

  • Demonstrated ability to work effectively as part of a team and across departments

  • Ability to adapt and excel in a fast-paced work environment with multiple priorities

  • Flexibility and willingness to perform other reasonable duties as requested, including willingness and ability to work overtime as needed

  • Ability to leverage technology to organize and prioritize multiple work assignments

  • Excellent Microsoft Office skills - Outlook, Word, Excel and PowerPoint essential




Benefits/Compensation



The compensation range for this role is specific to DC and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.


The anticipated base salary range for this role is $80,000 to $95,000.


In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs. Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
