About the Department



Alumni Relations and Development (ARD) engages alumni (~220k), current students, parents and friends of the University through intellectual, professional and social activities on campus, around the world and online. ARD raises $600 Million annually to support faculty and researchers, practitioners and patients, and students and programs across the University. Our work supports priorities in every division, school, department, and institute.


The Financial Operations and Facilities team is responsible for managing the finances and physical infrastructure of ARD. This team oversees budgeting, financial reporting, Unit forecast, procurement, and facilities management. This team plays a critical role in ensuring the efficient use of resources and maintaining a safe and functional work environment.



Job Summary



This position manages multiple related teams of managers and professional staff responsible for the financial management of operating and capital budgets for divisions and/or University-wide administrative units. Executes financial goals and business plans and contributes to the development of functional strategy. Directs financial forecasting and modeling for all major service programs and initiatives. Directs quarterly and year-end reporting for the operating budget.



Responsibilities



  • Directs, coordinates, maintains, and controls an accounting system and functions that properly reflect the financial position of the central ARD's units.

  • Establishes and maintains the division's accounting principles, practices, procedures, and initiatives in accordance with University policies and legal and regulatory procedures.

  • Directs all fiscal control and financial management, reporting, and analysis functions for University ARD.

  • Develops, implements, and monitors procedures relating to the control of all related accounts, whether related to procurement, payroll, travel, rent, media, capital equipment, or other expenditures.

  • Hires, trains, manages, evaluates, and leads staff in the department.

  • Manages internal audit risks for the division; and develops, implements, and maintains internal financial and operations control systems to ensure compliance with University's policies and with the IRS and all legal and regulatory requirements.

  • Selects, develops, implements, and oversees procedures and systems, including appropriate software applications, for tracking and reporting of all revenues, funds, and operating expenses.

  • Works closely with senior management and with the division's Human Resources department to analyze and evaluate resource allocation and program success and make recommendations toward improving organizational effectiveness.

  • Collaborates and develops strategic partnering opportunities with development and alumni relations units across campus and with University administrative offices that will fundamentally impact the divisions, and by extension, the University's long-term financial goals.

  • Benchmarks with other universities and not-for-profits, where appropriate.

  • Directs and manages cyclical budget process, including budget preparation, submission, reporting, forecasting and analysis.

  • Directs the planning and execution of infrastructure and facilities support within Alumni Relations and Development (ARD). Current locations include Harper Court, Hyde Park campus, and remote offices.

  • Directs the implementation of facilities projects, including space buildouts, office moves, equipment relocation, site improvements and safety programs. Oversees the work of the ARD facilities manager and team.

  • Acts as department head for ARD-COU processing centralization, such as accounts payable and procurement.

  • Seeks opportunities for professional development that will enhance job performance, including building networks within the University and with colleagues at peer institutions and with an eye towards broadly diversifying the advancement profession.

  • Manages financial staff through subordinates, usually other managers and professional staff. Establishes performance goals, allocates resources and assesses policies for the related departments managed.

  • Executes functional business plans and contributes to the development of financial goals, strategies, plans, and policies for the unit.

  • Performs other related work as needed.




Minimum Qualifications




Education:

Minimum requirements include a college or university degree in related field.

  • Bachelor's degree.

Experience:



  • Minimum seven years of professional work experience in nonprofit management, development, alumni relations, marketing, public relations, sales, or similar professional work experience.

  • Minimum four years of leading a project team or managing staff.

  • Minimum two years of experience developing and monitoring budgets.




Technical Skills or Knowledge:



  • Demonstrated skill and knowledge of, or ability to learn quickly, the internal workings of the University as well as the technology tools available to the Office of Alumni Relations and Development, including the University's financial management systems and the Microsoft Office Suite.

Working Conditions



  • This position has a hybrid work schedule which includes weekly in office presence.

  • Standard office environment.

  • Travel to campus and/or non-campus locations for University business.

  • Work evenings and weekends as needed.

  • This position is located in Hyde Park at 5235 South Harper Court.
