Position Summary


Basic Function and Responsibilities:


This position manages the registering of student organizations, activity planning processes, administratively managing late night events and Student Life and Engagement initiatives including Sparticipation (fall resource fair) and Springticipation (spring resource fair). The position assumes full responsibility for working with units and committees of Michigan State University responsible for initiatives aimed at enhancing the student experience at the University. In addition to managing and maintaining several existing initiatives, such as Sparticipation, Springticipation, RSO Fall Conference, the individual in this position will also design, direct, implement, and assess new initiatives. New initiatives will align with the missions of the Division of Student Life and Engagement and Michigan State University. The position exemplifies the Division's quality standards and behaviors of respectful, responsive, and resourceful. All programs under the auspices of this position seek to intentionally respond to the needs of students and the community in ways that are aligned with the university's core values of quality, inclusiveness, and connectivity.



Characteristic Duties and Responsibilities:



  • Manages the annual registration and re-registration of some 1000-1100 student organizations

  • Manages the operation of major student group events on campus/activity planning process)

  • Manages the screening and initial approval of all University financial accounts for new and returning student organizations on an annual basis

  • Provides administrative and managerial oversite for a full-time staff member that works primarily with student planning and activity documentation

  • Provides a supportive and safe environment and encourages student leaders' self-regulation at late-night social and major campus events

  • Provides instruction and clarification of university rules, regulations, policies, and guidelines related to programming issues

  • Serves as a connection between student organization leaders and advisers to the overall university

  • Serves as a liaison between the university departments, colleges, and offices regarding student organization policies, regulations, established guidelines, and organizational management

  • Serve as a collaborative partner in student-centered programming hosted within the Spartan Leadership Center focused on providing holistic student experiences

  • Co-plans, manages, and directs the annual Sparticipation and Springticipation events (fall and spring resource fairs)

  • Coordinates the vetting of the co-curricular programs for registered student organizations and leadership opportunities

  • Designs assessment and evaluation mechanisms to ensure effectiveness of programs and processes

  • Provide and support Late-Night Programming

  • Provide consultation to university members related to Late-Night Programming



  • Supervise graduate student

  • Serves as a representative of Student Life and Engagement on various committees and task forces including MSU Student Union Advisory Committee



Communication/Interpersonal Relationships Interacts with:



  • Senior Vice President of Student Life and Engagement, Assistant Vice Presidents for Student Development and Leadership to coordinate priorities, problem solve, and share information; will also communicate for advice, direction, and approval

  • Director of the Office of Spartan Experiences to set priorities, share information, and problem solve; will also communicate for advice, direction and approval

  • The Office of Spartan Experiences staff in order to coordinate activities and to provide support and advice

  • Students in order to advise, refer to campus resources, and discuss situations germane to the Department and Division

  • Graduate Assistants in order to promote professional growth and development

  • Unit Directors and Representatives in order to serve as a resource person, obtain necessary information for decision making, and to foster synergistic relationships across campus

  • All Michigan State University colleges and departments, including those locations with student organizations (East Lansing, Grand Rapids, Flint, etc.)



Reporting:


This position reports to the Director of the Office of Spartan Experiences.



Responsibility for the Work of Others:


First-level supervision over one full-time staff member, graduate assistant and student employees.



Responsibility for Health/Safety of Others:


No assigned responsibility.

The programs and work produced by the individual in this position directly affects the image, success, and future of Michigan State University. Errors in decisions, incomplete or misleading information, or unsound recommendations could adversely affect students, programs, services, or operations.



Work Environment:


Standard office environment.



All positions in SLE are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.

Minimum Requirements

Knowledge equivalent to that which would normally be acquired by completing a four year college degree in Public Relations, Communications, Business or in an area related to the work being performed; three to five years of related and progressively more expansive work experience in a field related to the position including planning, coordinating, and managing special events; experience in word processing, database, spreadsheet, desktop publishing and/or presentation software; or an equivalent combination of education and experience. Position may require software specific to the operational activities of the employing unit.

Desired Qualifications

Knowledge equivalent to that which normally would be acquired by completing one to two years of post- bachelor degree work such as a Master's in Higher Education Administration, Counseling or related field; three to five years of related and progressively more responsible and expansive work experience in student life administration, counseling, human relations, and/or program development; knowledge of legal, ethical, and affirmative action practices.


Training and experience in college student development; experience creating and implementing student success initiatives based on relevant data; demonstrated success in college student organization advising; capacity to facilitate leadership development opportunities for college students. Strong interpersonal skills and engagement with students, staff, faculty and community members. Knowledge of student organization software systems.
