Volt is immediately hiring an experienced Secretary for a local non-profit in Santa Maria!


As a Secretary you will:

  • Support the Manager of Services and Supports.
  • Assist with the Exception process.
  • Generate reports, correspondence, and documents.
  • Process Early Start and Age 3 denial/accept letters within 2 days.
  • Update records (demographics, case files, status changes).
  • Type letters.
  • Handle incoming and outgoing mail.
  • Print RC notes on scheduled dates.
  • Process 3770 and CDER forms.
  • Perform general office tasks (photocopy, fax, scan, mail).
  • Create tables and forms (e.g., OD schedule, sign-out books).
  • Compile data and prepare files for audits.
  • Transcribe phone messages.
  • Prepare referral packets.
  • File documents for service coordinators monthly.
  • Cover switchboard and reception duties.
  • Schedule appointments and meetings.
  • Organize and maintain archive files.
  • Update information, lists, reports, and contracts.
  • Request medical records within 2 days.
  • Maintain copier and fax machines.
  • Prepare closure, transfer, inactive, and deceased files.
  • Travel to other offices as needed.
  • Assist with office supplies and forms.
  • Help with facility issues (repairs, service calls).
  • Take and distribute meeting minutes.
  • Assist with special functions and training sessions.
  • Perform additional tasks as needed

The Ideal Candidate will have:

  • Proficient in computer skills, including Excel and Word (PowerPoint desired)
  • Ability to type a minimum of 45 WPM
  • Knowledge of correct grammar and punctuation (test will be administered)
  • Familiarity with office methods, procedures, practices, and equipment
  • High school graduate
  • 2 years of relevant experience
  • Excellent telephone skills
  • Transcription skills (desired)
  • May be required to know or learn technical terminology and spreadsheet programs
  • Bilingual ability (Spanish/English) required
This is a full time opportunity

Pay rate: Starting from $21/hr

Schedule: Monday - Friday 8 a.m. - 5 p.m.
