Overview:Under the supervision of the Director of Medical Education and the direction of the discipline specific Clerkship/Course Director, this position manages the third- and/or fourth-year clerkship/course programs to ensure effective and efficient service to the students and administrative support for the Clinical faculty. The Clerkship Coordinator is responsible for fostering and maintaining effective relationships with faculty, students, staff and administration. The Clerkship Coordinator will collaborate effectively with other clerkship coordinators in supporting the execution of excellent clinical learning experiences for all medical students at the Netter SOM.About Quinnipiac:Quinnipiac University is a private, coeducational institution located 90 minutes north of New York City and two hours from Boston. Administration and communication
Provide primary administrative support for the clerkship director in matters relating to the clerkship
Communicate with clerkship director, faculty, students, medical school and clinical site administration to coordinate the day-to-day activities of the clerkship
Collaborate with clinical sites to schedule and manage student rotations
Plan and manage clerkship events including space reservations, online links, communication, refreshments, technology, and meeting minutes
Use standard operating procedures for the Clerkship Coordinator role and making recommendations for improving processes
Coordinate financial transactions, including entering requisitions and expenses, processing expense reports, paying invoices, procuring supplies, and transferring funds in accordance with university policy and procedure
Serve as a representative on school and university committees. Curricular Material Management
Implement and utilize software, web-based tools, and other technologies to manage the curricular content, faculty and student assessment, and course evaluation
Oversee the production of curricular materials; edits and formats materials to conform with standards and templates
Implement and maintain a clear file management structure to ensure ready access to curricular materials for all clerkship operations, including accreditation. Assessment and Evaluation
Collect program evaluation and assessment data and run routine reports
Maintain grading database and prepares grades for approval and final submission
Manage communications around clerkship requirements including procedures, encounters, assignments, and examinations
Serve as a proctor for exams
Ensure timely submission of grades to the registrar
Accreditation
Apply the relevant LCME standards for accreditation, develop and ensure a database for numerical and narrative information related to the clerkship and prepare documents as needed for LCME review and ensure compliance with all University, accreditation, hospital and site policies and procedures
Faculty Data
Maintain accurate clinical information database for faculty, and work with the administrative support for faculty affairs on appointment of faculty within the designated department.
Cross coverage and other duties
Provide cross coverage and/or support to other curriculum coordinators as needed
Engage in other duties as assigned
Education Requirements:
Bachelor's degree required
Experience may substitute for some of the above education requirements
Qualifications:
Minimum of 2 years experience in an academic medical center or healthcare related field
Excellent written and oral communication skills, including interpersonal skills to work effectively with students and personnel at all levels
Exceptional organizational and time-management skills
Detail-oriented approach to all work
Excellent computer and Microsoft Office Suite skills
Basic book-keeping skills
Experience with learning management systems is preferred
Professional who exhibits the utmost discretion and confidentiality
From time to time, this position may require responding to urgent matters after hours
Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion
