Our customers rely on us to help identify and solve the efficiency and productivity challenges they face. www.thehopegroup.com Perform various data entry duties required in the order entry and maintenance of: new orders, material invoicing, production schedules, engineering work in process, fabrication work in process, fabrication labor hour reporting, month-end accounting reports, recording of request for quotes and purchase orders. As well as purchasing of materials, expediting, and scheduling of material used in the manufacture of fabricated systems for Sorensen Systems. Scope: Report to the Production / Inventory Manager. Work closely with the Production / Inventory Manager, Engineering Manager, Production Supervisor, Purchasing, Accounting and Warehouse departments.You will be responsible for the entry of data and maintaining data for:1.Engineering Quote and PO Logs2.New Orders Spreadsheet3.Order Entry and Change Orders4.Tribute Manufacturing Module Software5.Production Schedules6.Engineering and Fabrication WIP and Spreadsheet For Month-End Revenue Reporting7.Job Shipped Spreadsheet For Month-End Sales Reporting8.Labor Hours Billed Spreadsheet For Month-End Labor Revenue Reporting9.New Orders Spreadsheet For Visibility Of New Orders Before Being Entered10.Job Serial Number Register11.Labor Hour Reporting and E-Time Maintenance12.Expense Purchase Order Control 13.Fabrication Shop Supply Ordering14.Job close excess parts review 15.Enter purchase orders in Tribute as needed
Experience, Education and Skills
HS Diploma or GED
Associates degree or better preferred
1+ years experience in a similar production / materials support role is preferred
Basic mathematical skills are required
Demonstrated ability to be organized with strong attention to detail is required
Essential Functions
Work with the production / inventory planner, material schedules and customer requirement dates in generating production schedules. Obtain and coordinate order delivery information with all departments and customers. Work with purchasing on coordinating material orders for engineered projects.
Enter production orders into the computer for release of distributor items and purchased parts. Enter all new orders for Sorensen Systems into Tribute system for material procurement.
Develop progress billings and manual billings. Process service orders for invoicing. Process DMR's and RGA's. Process debits and credits to customers when applicable. Code invoices for payment to vendors.
Responsible for the coordination of Sorensen Systems progress billings with the accounting department. Responsible for entering, vetting and releasing the billing prior to completion of WIP orders to assure that all costs are rolled up on the job.
Procure miscellaneous material i.e. fittings, as needed for fabrication.
Assist engineers to ensure that all new order processes are followed i.e. all forms are filled out correctly and all documentation needed for the job folder is available. Process engineering change notices.
Perform related computer entry, and file maintenance. Maintain files, records, reports, etc. as required for final job costing. Process expense forms for Sorensen Systems personnel.
File all completed job folders.
Release engineered systems for shipment. Coordinate with Warehouse Manager on systems / material being released for shipment.
Oversee handling of material in the staging area.
Process and maintain weekly labor hours for production shops.
Reconcile month-end labor and engineering revenue reports.
Support The Hope Group Business Management System [BMS] procedures and work instructions by following established processes and supporting their continual improvement.
