Primary Responsible for processing Facilities Vendor Management Service Agreements, Renewals, and Replacements.



Essential Functions/Responsibilities



  • Works on assignments that are complex in nature where considerable judgment and initiative are required in resolving problems and making recommendations. May determine methods and procedures on new assignments and may provide guidance to other non-exempt personnel.

  • Performs a wide variety of administrative duties in support of one or more managers or executive team level.

  • Maintains filings systems, types letters, reports and presentations

  • Screens telephone calls, takes messages and resolves routine and complex inquires.

  • Schedules and maintains calendar of appointments, meeting and travel arrangements

  • Prepares and initiates routine and advanced correspondence including letters, memoranda and reports

  • Assists in the preparation and control of records, statistics and reports

  • Compiles and analyzes moderately complex data and information.

  • Composes straightforward written descriptions of results

  • May review and prepare operating expense reports

  • Acts as an information source on organization policies and procedures

  • Contacts company personnel at all organizational levels to gather information

  • Serves as an administrative liaison with individuals and groups within and outside the organization

  • Coordinates special projects and department activities

  • Work is of a critical or confidential nature

  • May assist with department floor plan design and/or development (cube arrangements/setups or new hires)

  • May support entire department i.e. organization charts, track all associates' time off, order supplies, as well as general support.

  • Back-up for other Administrative Assistants

  • May need to support other areas of the company




Minimum Knowledge, Skills, and Abilities Needed to Perform Essential Functions of the Job



  • Requires 5 + years administrative experience in roles interfacing with senior level executives, customers and vendors

  • Proficiency using Microsoft Word, Excel, & PowerPoint

  • The ability to read difficult instructions and maintain written records

  • Strong interpersonal and communication skills

  • Additional related training beyond High School

  • Occasionally lifts and carries up to 20 lbs.
