The Doe Run Company is seeking an Executive Administrative Assistant to provide administrative support to a General Manager or Vice-President to include calendar management, scheduling, communications, travel coordination, and office management. Provide administrative assistance to department managers as needed. This position will be located at Central Office in Viburnum, MO.

Education & Experience:


  •  High school diploma or equivalent.

  •  At least 3-years’ experience supporting executive or senior management in medium to large organization.

  •  Valid driver’s license.

Knowledge, Skills & Abilities:


  • Proficient computer skills in Microsoft Office Suite (Outlook, Teams), Adaptive (budgeting), PeopleSoft (purchase requisition),

  • Advanced interpersonal and communication skills both verbally and written to support executive communication needs.

  • Professional discretion and confidentiality.

  • Advanced skills in office management and procedures.

Responsibilities:


  • Coordinate executive’s calendar to achieve best use of time. Includes scheduling meetings and business trips, providing agenda or itinerary, coordinating logistics for travel, room, telephone, virtual participation and meals.

  • Monitor telephone calls and emails to support executive’s schedule. As directed prepare correspondence, presentations and other documents. Maintain well-organized electronic and paper files in compliance with ECM policies and procedures.

  • Schedule and manage office facility including setup and teardown of meeting rooms, scheduling of vendors and maintenance

    Order office supplies and refreshments and manage office mail and deliveries.

  • Complete tasks in a safe and environmentally compliant manner by following EHS (environmental, health and safety) policies, procedures and best practices; support and assist peers in working in a safe, compliant manner; report unsafe acts or conditions, incidents, and deviations; and provide feedback to support continuous improvement in EHS performance.

  • Other duties as assigned.

Work Environment, Physical & Lifting:


  • Quiet office setting. 

  • Regularly sitting and repetitive wrist and/or finger movement.  Frequently talking, hearing.  Occasionally standing & walking. Clarity of vision is required at 20 inches or less and at 20 feet or more.   Concentrated attention. 

  • Occasionally lift up to 15 pounds.  Rarely lift between 15 and 25 pounds.
