IACP seeks to hire a Project Associate to broadly support the Professional Development and Engagement Team, including administrative support for Police Chief Magazine, Membership, Communications, IACPnet, IACPlearn, and Meetings teams.

Job Responsibilities

Working with IACP staff, project partners, and stakeholders, the Project Associate will assist with:


  • Process and maintain the mailing list for the Police Chief magazine including author mailing list, print order and bulk shipment order

  • Process financial documents including invoices and credit card reconciliations

  • Assist and fulfill subscriber and team member requests for Police Chief magazine content

  • Maintain editorial tracking system and assist with manuscript processing

  • Organize and manage physical archive for Police Chief magazine as well as paper and electronic documents for various teams

  • Answer and respond to questions by phone and e-mail and provide excellent customer service support for members, advertisers, subscribers, conference attendees, exhibitors and speakers

  • Update and maintain membership and author records in association AMS

  • Assist with meeting planning to include preparing site visit materials; communicating with hotels and catering venues; reserving conference rooms; and handling other meeting logistics

  • Establish direct bill applications with hotels

  • Manage and maintain calendars for team leadership and prepare meeting rooms for team meetings

  • Process team DocuSign documents including data entry in association AMS

  • Compile Google Alerts daily

  • Supporting IACP team projects and efforts, as needed

  • Develop and implement progressive and standardized business processes and policies to maximize the organization’s efficiency/effectiveness

  • Other duties as assigned

Education


  • Associate's degree or 2 years professional experience

  • Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint, SharePoint, and Teams) and other relevant business software

  • Equivalent combinations of education and experience will be considered

Required Knowledge, Skills, and Abilities


  • Solid analytical skills to include the ability to troubleshoot problems

  • Effective task prioritization and time management skills

  • Solid writing, editing, and communication skills

  • Effective collaboration and teamwork skills

Preferred Qualifications


  • Experience in a nonprofit organization, association, or criminal justice environment

  • Familiarity with and understanding of membership and registration databases (Nimble/Salesforce; Martiz/Experient)

 Special Conditions and Work Environment


  • Limited travel may be required based on job responsibilities.

  • Work takes place primarily in an office environment

  • Light lifting, bending, and reaching may be required
