Overview

The Office Assistant position contributes to our success by aiding in the organizing and implementing of administrative systems required for the office, our logistics, and contract execution. The Office Assistant will be attentive to improvement, coordination, and completion of administrative assignments that support the DDC 4C Albuquerque Office operations. A successful Administrative Assistant will be flexible and efficient with their daily schedule to incorporate various time dependent and routine requirements.

*This will be a Part-Time position with an anticipated 24 hours of work each week*



Responsibilities

  1. Assist DDC 4C staff in accomplishing the daily administrative tasks and responsibilities required for departmental operations to include filing (electronic and hardcopies), uploading of signed documents to shared drive, answering of phones, signing out/in equipment, picking up supplies, arranging travel for DDC 4C staff, assisting in report writing and printing, maintaining staff calendars, and obtaining required permits for projects.
  2. Provide support for the Operations Manager and Program Managers by recording and distributing minutes of department meetings, maintaining proper work logs for staff, as well as processing requisitions/ work orders necessary for regular department operations.
  3. Monitor the department front office and provide an initial point of contact for employees and clients, responding to and meeting routine needs, requests and complaints within the Office Assistant’s knowledge and level of authority, referring the employee or client to the appropriate DDC 4C staff, as necessary.
  4. Helps keep office assets clean, organized, inventoried, and ready for use.
  5. Perform other related duties or tasks as assigned or required.


Qualifications

Education: Graduation from High School or successful completion of the GED program

Work Experience: One year of progressive experience in general administration

Special Knowledge, Skills and Abilities:

  • Basic principles and practices of office administration, communications and customer service etiquette
  • Administrative and clerical procedures and systems such as computer operations, managing files and records, designing forms and other office procedures and terminology
  • A working knowledge of various computer applications including the Microsoft 365 suite
  • Basic editing and formatting
  • Working cooperatively, virtually and in person
  • Basic tenets of good telephone etiquette
  • Managing one's own time
