Job Description:

Beacon Hill is seeking a Concierge Assistant to join their clients office in downtown Nashville to support their front office operations! This role will be 6 months at least, with opportunity to extend and become long term. Qualified candidates should be extremly reliable, able to work onsite full time, and have a background in either concierge support or front desk/clerical roles.


Hours: Regular Business Schedule, Monday-Friday (8am-5pmCST)


Full time Onsite


Salary: $18-$20 per hour depending on previous qualifications


6 Month contract, with opportunity to extend


Job Responsibilities:



Front Desk and Guest Services


  • Manage and direct incoming calls, transferring to appropriate staff or departments.

  • Welcome and assist visitors, ensuring they are signed in and greeted professionally.

  • Handle package deliveries, signing for and distributing as needed.

  • Coordinate meeting-related needs, such as food orders and setup.

  • Arrange transportation services for guests (taxi, car service, etc.).

  • Schedule and book conference rooms for meetings and events.


Office Maintenance and Facility Management

  • Ensure daily cleanliness of office spaces, including conference rooms and common areas.

  • Organize and maintain public storage areas for easy access and use.

  • Assist with the planning, setup, and cleanup for all office events.

  • Make sure offices and conference rooms are clean, fully equipped, and ready for daily use.

  • Help staff with office equipment usage and troubleshooting.

  • Collaborate with building management for maintenance requests, housekeeping, visitor access, and after-hours services (such as extended HVAC).

  • Monitor office equipment functionality and coordinate with IT for service calls when needed.

  • Stock printers and faxes with paper daily and ensure they're in working order.

  • Maintain the cleanliness and inventory of the Mother's Room.

  • Build and sustain good relationships with service vendors.


Kitchen and Supply Management

  • Restock food, beverages, and kitchen supplies regularly.

  • Keep kitchens and common areas clean, including running and emptying the dishwasher.

  • Maintain and clean all kitchen appliances, such as coffee machines, microwaves, and refrigerators.

  • Receive and stock office supplies, keeping the central supply closet organized.

  • Restock printer stations with paper and toner daily.

  • Ensure conference rooms are stocked with necessary supplies (paper, pens, etc.).

  • Monitor office supply inventory and reorder as needed.

  • Set up and break down for periodic office-wide lunches or special gatherings.


Document Handling and Mail Services

  • Collect and distribute mail, faxes, and other documents.

  • Manage mailing services, including UPS/FedEx and general postage.

  • Arrange courier services for package pickup and delivery.

  • Process large print, copy, and binding jobs.

  • Coordinate shredding services for sensitive documents.

  • Ensure printer stations and public office spaces comply with document retention and confidentiality policies.


Meeting and Conference Room Support

  • Order and set up food and beverages for meetings and special events.

  • Manage AV, video conferencing, and other equipment for meetings.

  • Ensure presentations, video conferences, and dial-in lines are functional before meetings.
