Position Summary:



The Registrar Specialist 2 serves as the subject matter expert for student records within the Registrar and Enrollment Management Office. Provides a full range of student records management. Maintains, updates and processes student academic records, while closely following all regulatory compliance principles and guidelines. Troubleshoots escalated student related issues and inquiries from students and campus staff, regarding multiple areas of student records.



Duties and Responsibilities:



  • Ensures College, State, Federal, and HLC compliance in the management of student records

  • Collaborates with internal departments to improve student services, data management, communication, and knowledge base of staff

  • Identifies opportunities for process improvement, innovation, and enhancement of customer service

  • This role will specialize in several of the following:

    • Residency status and verification of lawful presence

    • Program of study and catalog of record changes

    • Processes degree conferrals by reviewing student academic history to program requirements

    • Transcript evaluation and transfer course applicability

    • Processes incoming official transcripts from other institutions

    • Oversee NJCAA athletic eligibility

    • Updating, rebuilding and documenting student records and demographic data in SIS;

    • Banner Document Imaging Management

    • Reconstruction of academic transcripts from Microfilm

    • Oversee eTranscripts processing, error report management

    • National Student ClearingHouse verification of Enrollment

    • Process incoming High School Transcripts of graduation data in SIS;

    • Process and update Faculty grading issue requests, ie. Grade removals, administrative withdrawals; n. Research and resolve duplicate student record issues



  • Makes decisions or recommendations according to guidelines and best practices for student records management

  • Provides services to students and the general public by responding to a variety of student-related inquiries and requests and resolving student concerns via phone, email, U.S. mail, and chat messaging

  • Maintains confidential student records in compliance with Family Educational Rights and Privacy Act (FERPA)

  • Troubleshoots and resolves student systematic process, issues, and concerns 9. Performs all other duties and responsibilities as assigned or directed by the supervisor




Job Requirements:



  • High School Diploma or GED and

  • One to three years of related experience


or



  • An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above


Preferred:



  • Associates degree in General Studies or a closely related field of study

  • Three to five years of related experience
