Step into an instrumental role by assisting with the daily operations of a fast-paced holistic financial planning practice.

The administrative assistant supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. The administrative assistant allows the advisor the assurance he/she needs to know that his/her practice is being maintained and supported within Ameriprise Financial guidelines.

This role provides administrative support by scheduling meetings as needed, fielding incoming client phone calls, insuring office entry and lobby are clean and professional, logging incoming mail for the practice, greeting and interacting with clients as they arrive.

Responsibilities and Time Allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.

Primary Responsibilities


Position Functions:


  • Prepare correspondence for advisor signature when needed


  • Complete incoming and outgoing mail along with compliance requirements


  • Complete application to be a Notary Public, after start date


  • Daily office up-keep/cleaning


  • Answer incoming and outgoing calls and transferring to the appropriate party


  • Assist the planning assistant(s), paraplanner(s), associate financial advisor(s) and advisor(s)


  • Greet clients upon arrival and extend hospitality to clients


  • Faxing/scanning/uploading/tasking items as needed


  • Document client contacts/calls/messages and schedule as needed


  • Maintain office supplies

Education and Other Designations:

  • Experience in working in a small office environment
