Description:

The Board Assistant role is a critical administrative liaison between OMNI's board of directors and executive team. This role is part time and averages between 8 hours to 20 hours a week dependent upon board meeting schedules and needs. The role is paid at an hourly rate depending upon skills, qualifications and job performance.

Requirements:

SUMMARY:

The Board Assistant to the Board of Directors of OMNI Community Credit Union will provide administrative support to the Chairperson and the Board of Directors. Functions as the primary contact person for the Chair and Board of Directors including the CEO of OMNI. The Board Assistant is expected to act as Corporate Secretary to the Board, preparing all Board agendas and materials necessary for in-person Board meetings and Board calls; taking meeting minutes, distributing, and publishing them as appropriate, while safeguarding the confidential nature of the discussions and information shared in the meetings; and filing any necessary information with the corresponding corporate entities.

ESSENTIAL DUTIRES AND RESPONSIBILITIES:

· Have basic knowledge of facilitating requirements of the parliamentary procedure, credit union bylaws and state regulations.

· Work closely with the CEO to create the board meeting agenda and board packet content.

· Able to communicate in a professional and proficient manner both verbally, written and electronically.

· Create meeting(s) timelines, prepare, and distribute meeting notification, correspondence, agenda, and materials, as well as subsequent updates or changes.

· Attend required in-person board meetings, annual meeting, special meetings and record, and file minutes.

· Create and maintain board minutes, books, and archive materials.

· Establish excellent working relationship with the Chairperson and Members of the Board of Directors, CEO and executive staff, and members/leaders.

· Maintain, as needed, both mailing & public relations lists of Board, staff, and committees.

· Monitor board budget including credit cards expenses, education, and travel.

· Record and maintain education and conference attendance by board of directors.

· Create mailings, presentations, reports for the Chair and other materials for the board members.

· Prepare and edit correspondence.

· Make travel arrangements and tracking for the Board Members.

· Cooperate with, participate in, and support the adherence to all internal policies, procedures, and practices in support of risk management, safety and soundness and compliance with all regulatory requirements.

· Enthusiastically supports the credit union's focus on member sales and service and actively seeks out opportunities to promote products and services.

· Demonstrates excellent technological aptitude and skills.

· Can use critical thinking and analysis to problem solve and develop creative solutions and ideas.

· Ensure all information and transactions, including regarding members, are kept confidential.

· Completes annual training of all required compliance regulations, including the BSA, and adheres to the regulations.

· Maintain ongoing communication with supervisor, informing him/her of all pertinent problems, irregularities, new development, changes, and other important information within area of responsibility.

· Maintain a professional and courteous attitude with all people, including fellow team members, members, management staff, board members and outside vendors. Exemplifies the desired culture and philosophies of the credit union.

· Regular attendance is an essential function of the job as well as reporting to work on time and as scheduled. A physical presence onsite is required for board meetings.

· Follow safety and security rules and regulations.

· Protect and respect credit union equipment and supplies.

· Perform other duties and accountabilities as might be assigned to this position.

EDUCATION and/or EXPERIENCE:

An associate degree preferred along with credit union experience or equivalent combination of education and experience.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, employees, regulatory agencies, benefit providers, and others.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole number, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Continuous use of judgment, reasoning, patience, and negotiation. Frequent use of initiative, ingenuity, and creativity. Frequent problem-solving. In certain circumstances, problem resolution may require considerable diplomacy while dealing with difficult people.

Personal computer applications knowledge and skills to include Microsoft Office. Ability to create an atmosphere that promotes teamwork, collaboration, and initiative. Must be good with detail and numbers and have good organizational and interpersonal skills.

WORK ENVIRONMENT:

All essential functions are performed in an office setting. Temperatures in the climate-controlled offices may fluctuate. Work area is sometimes noisy due to multiple member transactions. The noise level in the work environment is considered moderate. Team members may not be able to easily leave the work area unless for a scheduled break. Due to the nature of our business, there is a risk of exposure to potentially hazardous condition.

MENTAL DEMANDS:

The mental characteristics necessary to competently perform this job include the frequent need to write or type, and the continuous need to be resourceful, persuasive, and creative in all aspects of business correspondence.

In addition, the job holder requires imagination, concentration and negotiating skills to be successful in performing the job duties as well as a high aptitude for technology.
