SUMMARY

The Fleet Coordinator is responsible for providing essential administrative support to the Fleet Manager. This role focuses on ensuring efficient fleet operations by handling various clerical and administrative tasks, such as managing insurance claims, maintaining compliance throughout data bases, and assisting with fleet data management. The Fleet Coordinator plays a vital role in keeping the fleet operations organized, compliant, and running smoothly..

ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Fleet Reporting: Generate reports on fleet status, vehicle utilization, and maintenance schedules to keep management informed of fleet operations.

  • Insurance Claims: Assist in filing and managing vehicle insurance claims, working closely with the Fleet Manager and internal stakeholders to ensure timely processing and resolution.

  • Compliance Monitoring: Ensure all fleet vehicles are compliant with federal, state, and local regulations, including monitoring registration, inspection, and insurance renewal deadlines.

  • Fleet Data Management: Update and maintain the fleet management system with accurate data, including vehicle details, driver assignments, and GPS monitoring.

  • Cost Tracking: Track and report fleet-related expenses, including fleet purchases, fuel costs, tolls, repairs, and insurance premiums.

  • Vendor Coordination: Liaise with vendors and service providers for vehicle repairs, insurance claims, and other fleet-related services.

  • Driver Assistance: Provide administrative support to drivers, answering questions related to vehicle assignments, documentation, and claims.

  • Support Coordination Team: Collaborate with the Fleet Manager by assisting with administrative tasks related to scheduling, vehicle tracking, and driver records.

REQUIRED SKILLS, EDUCATION & KNOWLEDGE: 


  • 2-3 years of experience in DOT administration or fleet management role.

  • Strong organizational skills with attention to detail, particularly in handling legal and insurance documents.

  • Excellent communication skills for coordinating with internal teams and external vendors.

  • Ability to manage multiple tasks and prioritize work in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and fleet management software.

  • Familiarity with fleet insurance processes is a plus.
