Job Description
The Receptionist plays a key role in ensuring smooth daily operations by being the first point of contact for visitors and managing incoming communications. This position is essential for maintaining a professional and organized reception area while providing critical administrative support to the team. The Receptionist is responsible for greeting visitors, handling inquiries, and facilitating the efficient flow of information between departments and external stakeholders.
Duties and Responsibilities:
Greet and welcome visitors in a professional, friendly manner, ensuring they feel valued.Answer and manage incoming calls, efficiently directing them to the appropriate individuals or departments.Respond to inquiries from customers, suppliers, and other external parties, providing accurate information or connecting them with the right contact.Maintain a clean, organized, and presentable reception area at all times.Assist with various administrative tasks, including sorting and distributing mail, preparing correspondence, and managing office supplies.Schedule appointments and meetings for plant personnel, ensuring accuracy and timeliness.Coordinate with security personnel to issue visitor badges, ensuring safety protocols are followed.Support management with special projects and tasks as needed.Maintain confidentiality of sensitive information and strictly adhere to security protocols.Serve as a liaison between internal departments and external stakeholders, facilitating seamless communication and information flow.
Qualifications:
High school diploma or equivalent required; additional education or training in office administration is a plus.Proven experience in a receptionist or customer service role, preferably in an industrial or manufacturing environment.Strong interpersonal and communication skills, with the ability to interact professionally with a diverse range of individuals. Bilingual is required.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.Excellent organizational skills and keen attention to detail.Ability to multitask and prioritize in a fast-paced environment.Solid knowledge of administrative procedures and office management practices.Professional demeanor, with a positive and proactive attitude.Adaptability to changing priorities and responsibilities.
Physical Requirements:
Ability to sit, stand, and walk for extended periods.Manual dexterity to operate office equipment such as phones, computers, and printers.Occasional lifting and carrying of light objects may be required.
