Job Description:

8am-5pm or 9-6 or can come in at 7am. M-F excellent EXCEL. Answer all incoming calls and address issues with the customer and channel difficult questions to the Service Manager or Lead Technician. When a unit pulls into the drive way the Service Writer should greet the customer and go over all issues he is having with his unit. He or she should also get the customer name, address, contact name and phone number of the person responsible to pay the bill or issue a PO#, get the unit number of the trailer, record all damage on the trailer at arrival, fuel level in the tank, check all lights, mud flaps, signs of oil leaks on the wheels, brake linings, door seals etc. Have customer sign and print their name on the check in sheet
• Open up a repair order and check for warranty, SVC contracts and if the customer has a credit account or is COD.
• Add to WIP unit information etc. and notify the service manager when the unit comes in and what date the customer would like to have the unit back.
• Be able to communicate with the customer what is wrong with the unit and how much it will cost to do all the repairs. Make sure customer approves the estimate by signing and printing their name as well as how they will be paying for the repairs.
• When customer comes to pick up the unit you will be responsible for getting payment and invoicing the customer.
• Work with the service manager and shop foreman from the start of the job till the completion of the job and be the communicator with the customer.
• Work with the Mobile Truck Technicians thru out the day and schedule road calls coming in.
• Make sure either the shop manager or service manager have signed off that the unit completed has had a QC completed before it leaves.
• Work with AR department on invoices not paid.
You must have a great personality with strong administrative, customer service and computer skills. You must be a multi-tasker, can think outside the box, answer multiple phone lines, and handle incoming service orders. You will be responsible for checking in trucks that need service, going over the cost to repair the trucks, the service needed and following up on invoices.
